Job Description:Position Title: Library and Archives Assistant
Position Type: Full-Time
FLSA Classification: Non-Exempt

Compensation Range: $18.65

Position Summary:Reporting to the Director of Library and Archives, the Library and Archives Assistant provides guest services and administrative and specialized support within Crystal Bridges’ Library and Archives department. Responsibilities span the museum’s reference, rare book, and archival collections. This position supports circulation and reference, library cataloging, archival processing, and day-to-day operations. The library welcomes all museum guests, and the Library and Archives Assistant plays a key role in creating an open and engaging guest experience. The Assistant also acts as the primary department liaison for library volunteers. The work schedule is Wednesday - Sunday to cover 10:00am - 6:00pm library open hours on those days.
Principal Responsibilities:
  • Circulation & Reference:
  • Issue library cards and maintain patron accounts
  • Check library materials in/out
  • Respond to reference requests; manage research appointments
  • In collaboration with library volunteers and the museum’s technology and facilities teams, manage the physical library space, including computer workstations, the library welcome desk, and the main stacks
  • Book Collections:
  • Copy catalog new library acquisitions
  • Participate in projects to improve collection metadata
  • Archival Collections:
  • Assist with archival processing by completing inventories, researching and digitizing materials, and contributing to the creation of archival records and finding aids
  • Library Volunteers:
  • Supervise volunteer shifts
  • Train library volunteers; create and update volunteer training and reference materials
  • Administration:
  • Support the Director of Library and Archives and the Technical Services Librarian in the creation of meeting/presentation materials and library information resources
  • Research services and products; inventory and order supplies
Additional Responsibilities:
  • Assist with library tours and public programs
  • Support biannual collection inventories of the reference collection, as well as as-needed collection shifts of reference, rare book, and archival collections
  • Participate on department, division, and museum-wide working groups and committees
  • Perform other related duties as assigned by the Director of Library and Archives
Qualifications and Skills:Education, Training, and Traits
  • BA or equivalent experience
  • One year of related experience in a library, museum, or comparable work environment
  • Proficient in Microsoft Office; capacity to use and accurately enter data into complex information management systems
  • Strong organizational skills, including attention to detail and deadlines
  • Excellent oral and written communication skills
  • Ability to work independently and effectively interact with a wide range of colleagues and constituents
Preferred Skills And Abilities
  • Art subject cataloging experience
  • Experience working with rare and/or artist books
  • Experience processing archival collections
  • Background in art history, American history, museum studies, or a related field
  • Knowledge of print and electronic resources for art

  • Physical demands: In the work environment described below, position requires work at a desk, utilizing a computer and a telephone for prolonged periods of time, good eye/hand coordination, bending and stretching for filing, and physical stamina to lift a minimum of 25 pounds to a height of at least three feet for file and materials storage as appropriate for the demands of the office. Visual acuity to review written materials is required for this job.
  • Work environment: Work will be performed in an office environment and museum spaces. The noise level in the museum work environment is usually low to moderate.
