POSITION OVERVIEW
This position will support the executive office by providing scheduling and administrative support for the President. The position will handle the day-to-day administrative/support needs including generating correspondence and tracking flow of documents and information in and out of the executive office. The position will also manage projects for the President and Sr. Manager of the Executive Office related to the association and its members.
Responsibilities
-Coordinate President’s CES schedule and shadow President on site.
- Maintain President’s schedule and appointments.
- Handle the day-to-day administrative/support needs including generating correspondence, answering phone calls, and tracking flow of documents and information in and out of the President’s office.
-Prepare logistical information for Communications briefing documents for President’s meetings, speaking engagements, and travel to include itinerary, agenda, biographies, talking points, etc.
-Arrange travel (air, hotel, ground transport, etc.) for the President and travel for others as requested. Track and coordinate all expenses related to travel.
-Handle President’s expense reports and manages their corporate credit card payments.
-Support the Sr. Manager of the Executive Office with organization wide projects and events.
-Update and maintain department databases, contact lists and files.
-Coordinate in-house meetings for client members and staff including arrangements for client luncheons, conferences, receptions and dinners.
-Responsible for routing Executive Office contracts and agreements.
-Act as an ambassador for the Executive Office.
-Perform other duties as assigned.
Work Experience:
-At least 2 years’ work experience required with preference given to serving in an
administrative or executive assistant capacity.
Education/Training:
-A Bachelor’s degree or professional accreditation may serve as a substitute for the administrative expertise and experience typically required for these positions. This can include holders of two-year associate degrees. Bachelor’s degree with a focus on Business Administration, Communications, Event Operations, Marketing or related field preferred, or commensurate experience.
Skills/Capabilities/Technical:
-Acute attention to detail.
-Strong organizational skills including ability to set priorities, handle multiple tasks simultaneously
-Must be able to organize time effectively with precise attention to detail in order to ensure accuracy
-Must be willing to travel periodically
-Must possess excellent writing and oral communications skills
-Ability to walk for long periods of time to serve as the President’s shadow at events including CES
Additional Information:
Individual must be comfortable maintaining the confidentiality of sensitive issues and
projects handled by the executive office.
