BILLING CLERK

ABOUT THE COMPANY:

• Our repeat client is a leader in the construction industry in business in the Pittsburgh area for over 50 years!
• This company is led by a team with more than 150 years of experience in the construction industry
• Due to growth in the business, they are currently looking to add a Billing Clerk, skilled in AP and AR, to their medium size team and work in their office in Pittsburgh, PA on a contract basis
• Schedule: 100% in office in Pittsburgh, PA. Typical office hours are M-F 8:30am-5pm with a one hour lunch but can be flexible to meet candidates' needs.
• Reports to the CFO

OVERVIEW OF THE BILLING CLERK ROLE:

• AR DUTIES
  
  • Enter billing information in the system to create invoices and send it to customers accordingly.
  • Check work orders for pricing, size and selection for the job that is scheduled for next day.
  • Prepare estimated cost sheet for customers.
  • Billing Clerk handles a workload of 60-80 invoices daily on average.
  • Check proposals and get approvals.
  • Provide management with spreadsheet of daily sales for jobs that are not completed and missing billing and PO.
  • Filing AR documents and paperwork accordingly
• AP DUTIES
  • Receive, open, and file invoices.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Match invoices with proof of delivery, bill of lading, and purchase order.
  • Billing Clerk reconciles vendor price and adjusts prices.
  • Process and enter invoices in the system.
  • Prepare spreadsheets for payable invoices as required.
  • Post payments and vendor discounts in the system.
  • Communicate with vendors regarding invoice payments, price adjustments, credits, discrepancies etc.
  • Review prices keyed on purchase order and inventory screen and adjustment.
  • Review work orders and pull invoices for claims and file.
  • Assist and provide documents and information during field exam, audit or for tax purposes.

PREFERRED QUALIFICATIONS FOR BILLING CLERK:

• 2 years' billing/accounting experience
• Associates degree or higher education in any field a plus but not required
• Experience using an accounting ERP system preferred
• Billing Clerk requires basic Excel skills
• Detail oriented and able to communicate professionally internally and externally with a variety of personalities and cultures
• Comfortable working under pressure in a team environment
• Able to meet deadlines and push others to assist in meeting those deadlines
