Overview: We are seeking a detail-oriented and organized Accounting Associate to join our dynamic team. The ideal candidate will handle various accounting tasks related to accounts receivable, accounts payable, credit card management, and vendor management. This role is crucial in ensuring the accuracy and efficiency of our financial operations across multiple projects.
Accounts Receivable (A/R)Key Responsibilities of the Accounting Associate:
- Receive checks for various projects.
- Confirm project details for accurate application of payments.
- Record deposits in collaboration with the project manager.
- Manage financial records for 20-25 concurrent projects.
- Process incoming invoices via email, fax, or hard copy.
- Scan and route invoices to the project accountant for approval.
- Enter approved invoices into the A/P software for tracking.
- Conduct bi-monthly check runs for approved invoices.
- Select invoices for payment, obtain approval, and prepare live checks.
- Ensure checks are issued to the correct vendors and for the correct amounts.
- Prepare and send checks, including envelope stuffing, stamping, and postal delivery.
- Manage subcontractor payments according to contract terms.
- Handle receipts for 35-45 company credit cards.
- Scan receipts and obtain necessary approvals.
- Log transactions and reconcile them against monthly statements.
- Enter transactions manually into the A/P system.
- Set up new vendors in the accounting system.
- Collect and maintain W-9 forms for all vendors.
- Perform vendor machine and petty cash reconciliations using Excel.
- Bachelor’s degree in Accounting, Finance, or related field preferred.
- Minimum of 2 years of accounting experience.
- Proficiency in Microsoft Excel and accounting software.
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to handle multiple projects simultaneously.
- Strong communication skills for interacting with team members and vendors.
