Parts & Administration is at the heart of the business, ensuring the support of our customers, sales, service technicians, and internal personnel. Attention to detail, organization, and technology management is crucial in this role. Communication with the customer is our top priority. Ensuring the customer is informed of scheduled appointments, responding to inquiries, and assisting with resolving issues and problems. Parts & Administration employees efficiently plan and route the most-appropriate technicians and Territory Sales Managers in accordance with established guidelines and company procedures. Work is performed in established processes and procedures in a fast-paced, constantly changing environment.
Parts & Administration Role & Responsibilities
  • Responsibly manage service aspects of branch transactions, to include Purchase Orders, Job Cost, and Customer Invoicing.
  • Review invoicing details of completed service and inspection work before moving forward with the invoicing process.
  • Create, send, and collect customer invoices.
  • Participate in the agreement base renewal procedure.
    • Review new agreements. Verify customer assets, associated service products, and labor requirements to be delivered for each agreement.
    • Review agreement profitability and notify management of agreements needing a more thorough review where the scope has changed, or a more in-depth price review is needed.
  • Provide excellent communication to operations and field members.
    • Assist the service manager with resource allocation, manpower, and scheduling.
    • Open service requests and schedule on-call rotation to respond to emergency breakdowns.
    • Arrange sub-contracted services and equipment, including rentals as needed.
  • Provide control of the service office organization and workplace environment.
    • Database management: maintain accurate records and data regarding inspections & preventative maintenance services.
    • Review customer reports for accuracy and completeness
  • Work with the sales and operations teams to meet or exceed customer expectations regarding capability, quality, and performance of all work.
  • Work with the operations team and technicians to assist in monitoring company safety policy and procedures to assure the safety of all workers.
  • Parts research and ordering, as needed.
  • Other duties as assigned.
Parts & Administration Requirements
  • KNOWLEDGE: A minimum of (3) years of industry experience or customer service-related background, or a combination of education and experience that illustrates a proven track record in this field is preferred.
  • SKILLS:
    • Microsoft Office – Outlook, Excel, and Word.
    • Knowledge of administrative and clerical procedures
    • Excellent interpersonal skills to be able to work with customers, sales staff, and internal team members.
    • Must be able to work in a dynamic environment in which fast response is normal – where the lead time is critical on quotes and delivery.
    • Excellent communication skills – verbal and written.
    • Strong attention to detail.
    • General understanding of structural, electrical, and mechanical trades.
    • General knowledge of safety procedures and willingness to learn basic code requirements.
  • ABILITY: A passion for providing top-notch customer service to our customers. Valid driver’s license and ability to meet our driving requirements.
