Position Announcement

Administrative Specialist II – Child Support Unit

Starting Pay Rate: $18.3756/hr. ($35,832.51 annually)

Position Status: Full-Time

SUMMARY

Generally, under general supervision, performs a variety of responsible, complex tasks involved in providing administrative support to County programs and managers. Duties include composing and proof-reading materials; creating, tracking, and maintaining records in filing systems, databases, or spreadsheets; processing billings and accounting for cash; making travel arrangements; and answering a variety of inquiries by telephone, mail, or in person. Assignments are performed with considerable independence within established parameters and require the application of established rules and regulations. This class is distinguished from Administrative Specialist I by a greater variety and/or complexity of duties performed. Duties typically require a greater degree of problem-solving judgement. Work is reviewed by a supervisor periodically for the quality, efficiency, and effectiveness of work performed.

This specific Administrative Specialist assignment is within the Child Support Unit of the McLean County State’s Attorney’s Office. In addition to the duties listed above, this position will be responsible for assisting the State’s Attorney’s Office with pleadings, court papers, filings as well as scheduling and word processing. This is a grant funded position.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (May not include all duties performed)

  • Processes a wide variety of moderately complex to complex materials, information, and transactions.
  • Composes, formats, proofreads/edits, and produces quality word-processed forms and documents, which require specific program knowledge, including newsletters and brochures using desktop publishing software.
  • Establishes, compiles, maintains, and retrieves specialty computer and/or hard copy files or records; takes appropriate actions related to files and re-files, as needed; produces a variety of reports from computerized databases and spreadsheets.
  • Interacts in person, by telephone, and written correspondence with the public, County staff, and staff of other jurisdictions; provides information on County, Department, and specific program policies and procedures; takes service requests and routes to appropriate parties for response.
  • Coordinates arrangements for and schedules travel, appointments, meetings, conferences and other events.
  • Takes and transcribes minutes of meetings, transcribes tape-recorded notes, statements, and letters.
  • Performs calculations; receipts money; processes payroll or billings; serves as timekeeper; orders office supplies and other program materials and supplies.
  • Serve as office resource or contact person for use, maintenance, and/or troubleshooting for specific office machines and/or software programs, as assigned.
  • Researches files and materials and prepares informational responses and reports, as required.
  • Provide temporary oversight to others for special projects or assignments, as assigned.
  • Performs related work, as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of modern business practices.
  • Knowledge of English composition, spelling, and grammar.
  • Some knowledge of basic accounting practices and principles, as required by the position.
  • Skill in the proper and efficient operation of word processing and other standard office equipment, including ten-key calculator if required by the position.
  • Skill in alphabetical and/or numerical filing.
  • Ability to interact with the public and provide information in a polite and efficient manner, both in person and on the telephone.
  • Ability to effectively resolve conflict and diffuse difficult situations.
  • Ability to understand and follow oral and written instructions.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to learn rules and procedures and to apply them correctly in varying circumstances.
  • Ability to take and transcribe minutes, as required by the position.
  • Ability to work with and maintain confidential information.
  • Ability to make mathematical calculations quickly and accurately.
  • Ability to establish and maintain effective working relationships with co-workers, various external contacts and the general public.

MINIMUM EDUCATION AND EXPERIENCE

High school graduation, or possession of a GED Certificate, including or supplemented with course work in business, general clerical, or office procedures; and experience (2-3 years) in a general clerical, accounting, or customer service work related to the functions of the position; or any equivalent combination of education and experience that would provide the above noted knowledge, skills and abilities.

PHYSICAL ATTRIBUTES/DEMANDS

Work requires sufficient physical strength, agility, endurance, dexterity and hand-eye-foot coordination to perform all essential duties. Work requires sitting for extended periods of time; standing; walking; bending and reaching; stooping; lifting and carrying office materials; and operating standard office equipment. Some positions may require use of latex gloves.
