Job summary
An excitingopportunity has arisen within our Reception Team based at University HospitalNorth Durham.
Working hours as part of our reception team, thepurpose of this role is to provide effective and efficient clerical, receptionand administration support within the Audiology Department ensuring thatadministration processes meet the needs of all service users.
The post holderwill be expected to use their own initiative and work independently oftenwithout supervision.
The ability to work under pressure both individually and aspart of a team is important to ensure that deadlines are met.
Goodorganisational and interpersonal skills are essential in order to be able toachieve this. Excellent customer service skills are essential for this role.
The successful candidate will be based atUniveristy Hospital North Durham and will be required to work at other siteswithin the Trust, when neccessary
Main duties of the job
To provide reception (see Job Description) andadministrative duties to the Audiology Department, which involves inputting andmaintaining accurate patient information on Trust systems.
To ensure qualityand customer care standards are met, contributing to positive patient experiences.
To provide an efficient reception service, includinganswering the telephone and dealing with enquiries from patients, patientsfamilies, GPs, other departments and manufacturers in a calm and polite mannerand in accordance with Trust policy.
To have the ability to multi task and prioritise whendealing with patients enquiries, telephone calls and other administrativeduties.

MAIN DUTIES AND RESPONSIBILITIES
To be responsible for the booking and cancelling of patientappointments, both face to face and on the telephone and entering them on theTrust patient administration system (Cerner) and the Audiology patientadministration system (AuditBase).
To send out all booking details and corresponding materialpromptly.
To be responsible for the booking of any non-electronicreferrals and the consequent registration of patients on the PAS.
To ensure that tests / reports that are sent to the otherdepartments and logged correctly.
To liaise with other professionals, patients and departmentsto arrange appointments.
To ensure that all postal requests for batteries and anyaccessories are dealt with promptly and logged correctly.
To book and cancel patient interpreters for appointmentswhere necessary
To ensure the department complies with local and nationaltargets when cancelling and booking appointments.
To be responsible for the maintenance and input ofdemographic and appointment data.
To ensure all Audiology patients are checked in and outcorrectly on Cerner and Auditbase.
To ensure all hearing aid repairs are correctly logged inand out of the department.
To manage incoming and outgoing communications for patientsand staff including post, emails, telephone calls and voice mail messages.
To open and distribute incoming mail and provide relevantsupporting information when required.
To provide administrative support for the Audiologists whenappropriate.
To provide photocopying as required for events run withinthe department.
To use initiative and work without direct supervision.
To communicate appropriately with patients who are deaf orhard of hearing and their parents and those who have other specificcommunication requirements.
To present an appearance and demeanour appropriate to aservice working with patients.
To undertake any other duties and responsibilities asrequested as appropriate to the banding to ensure smooth running of department.
