About the Role: This is for a contracted employee role, with an expected duration of six (months). At the end of the contracted period of employment, job performance, attendance, attitude and overall interest in the job will be assessed in a performance evaluation to determine if an offer of full-time at will employment will be made, if the contract period will be extended, or if the contract will be ended without further offer of employment.

About Us: Counseling4Kids (C4K) has been serving children and families for over 20 years. We were founded with the goal of providing mental health services to children in Los Angeles County’s foster care system. We responded to the immense need for mental health services to help these children heal from the abuse and neglect they had suffered. Initially, the C4K treatment program had eight therapists providing services for 25 clients. Today C4K has grown to serve approximately 1600 children per year. Most of our clients have experienced trauma from severe abuse and neglect. Our range of services include: individual therapy, family therapy, psychological evaluation, medication support, case management and referral to community resources. C4K is currently in a transformation state as we are looking to build a large team of highly skilled, licensed therapists providing assessments and weekly therapy to children and youth. JOB SUMMARY:

Under the direct supervision of the Chief Financial Officer, the Staff Accountant provides general administrative support to the Finance Department. In addition to administrative tasks, performs duties such as financial record keeping, maintenance of numerical data, provider on-boarding, and other special projects. The Staff Accountant shall perform all duties consistent with the stated policies and procedures of C4K and in a manner which ensures coordination of the contribution of C4K’s Board, staff and providers.

JOB SUMMARY:

Under the direct supervision of the Finance Supervisor, the Staff Accountant provides general administrative support to the Finance Department. In addition to administrative tasks, performs duties such as financial record keeping, payroll, maintenance of numerical data, provider on-boarding, and other special projects. The Staff Accountant shall perform all duties consistent with the stated policies and procedures of C4K and in a manner which ensures coordination of the contribution of C4K’s Board, staff and providers.

ESSENTIAL FUNCTIONS:

  • Works independently on routine and assigned bookkeeping and accounting tasks as directed by the Finance Supervisor.
  • Performs general cost accounting and other related duties for the organization.
  • Compiles all accounts payables and receivables, recording transactions and accruals, and preparing weekly payments of invoices.
  • Codes invoices, sets up new accounts, reconciles accounts, and closes the monthly books.
  • Reconciles bank accounts, verifies deposits, and addresses inquiries from banks.
  • Serve as a back-up in logging all cash receipts/checks received in the Finance Department.
  • Payroll Duties:
    • Processes Payroll in collaboration with HR and enters data in TRAX Payroll
    • Conduct a bi-weekly final review of time sheets and process report in BambooHR.
    • Process the Time Off Used Report and conduct analysis with against employee time sheets.
    • Monitor time punches for all employees and notify supervisors of discrepancies.
  • Processes 403B Retirement payments and upload data to retirement account website.
  • Assist with agency billing processing including but not limited to:
    • Upload EMH EDT data files weekly to EXYM, using EXYM Uploader software.
  • Download the 837 IBHIS from EXYM and Upload to the Core FTO System for weekly claims.
  • Determine on time and late notes based on payment report and communicate appropriately.
  • Working with Client Services and Quality Assurance Departments to correct and resubmit denied claims.
  • Works to support Finance department in annual independent audit.
  • Leverages accounting software and IT systems to effectively perform duties.
  • Performs other duties as assigned.

KEY QUALIFICATION & SKILLS:

  • Delivers with timeliness, accuracy, completeness, and effectively, to the highest ethical standards, and in accordance with generally accepted accounting principles for non-profit entities and in accordance with the organization’s mission, values, and universal standards.
  • Experience with Los Angeles Department of Mental Health
  • Experience in non-profit and / or grant accounting a plus.
  • Experience with QuickBooks accounting software.
  • Demonstrates experience in knowledge of accounting theory and practices for non-profits desirable.
  • Promotes and adheres to company’s mission, vision and values, policies and applicable laws in a fair and equitable manner.
  • Represents the organization in a professional manner to all customers, vendors, and internal personnel.
  • Maintains knowledge of General Acceptable Accounting Practices (GAAP) and procedures
  • Other duties as assigned.

EXPERIENCE/SKILLS:

  • Excellent verbal and written communication skills.

  • Knowledge of general financial accounting and cost accounting.
  • Punctual and proven ability to handle confidential information with discretion.
  • Understanding of and the ability to adhere to generally accepted accounting principles.

  • Ability to correctly prepare tax reports.

MINIMUM QUALIFICATIONS:

  • Minimum of an A.A./A.S. degree in Accounting or related industry.
  • 2 years of experience working/volunteering for a non-profit organization.
  • Must be able to communicate clearly; both verbally and in writing.
  • Possess the ability to work as a team member, take initiative and excellent problem-solving skills.
  • Ability to self-start, work independently and achieve high standards to meet multiple deadlines.
  • Proven ability to determine appropriate course of action, referral or response

Work Environment and Physical Demands:

This job operates in a professional office environment. Must be able to remain in a stationary (stand/sit) position at least 50% of the time. This person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Frequently communicates with staff, clients, families and other community organizations and must be able to exchange accurate information. Regularly exposed to outdoor weather conditions when out in the community.
