The School of Electrical and Computer Engineering (ECE) at Cornell University is among the largest schools in College of Engineering, and consistently ranks among the top ECE schools nationally. ECE’s programs encompass digital and computer systems, embedded processors, digital signal processing, RF (wireless) systems, optical communications, atmospheric and space plasmas, energy and power engineering, solid-state electronics, integrated circuit design and fabrication, bioelectrical devices and circuits, and biomedical applications such as image processing, sensors, and signal analysis, and more. The department supports 40-50 faculty and instructors across the Ithaca and Tech campuses, approximately 200 undergraduates, 150 Master of Engineering students and over 130 Ph.D. students.

The Opportunity

As the Assistant to the Directors, you will play a crucial role in the administration, organization, and management of the School of Electrical and Computer Engineering (ECE) office, a prestigious academic research unit. Working closely under the guidance of the Director of Administration, you will partner with the Academic Director to support and promote the school's research and teaching mission. This position demands a dedicated, proactive, and organized professional who can effectively manage a wide range of responsibilities.


Key Responsibilities:

  • Project Execution: Execute and manage various projects, ensuring that tasks are completed within established timelines and meet project specifications. Analyze problems that arise and recommend solutions to overcome challenges.
  • Calendar Management: Maintain and coordinate complex calendars for the Academic Director, including scheduling appointments, meetings, and events, and ensuring optimal time management.
  • Faculty Recruitment: Lead the faculty recruitment process, scheduling visits for up to 20 faculty candidates. Ensure a smooth and efficient recruitment experience for candidates, faculty, and staff involved in the process.
  • Tenure and Promotion Coordination: Coordinate faculty tenure and promotion reviews across both campuses, assisting with the logistics and documentation required for a successful process.
  • Meeting Coordination: Organize and facilitate meetings, including preparing meeting materials, recording minutes, and ensuring efficient communication between various stakeholders.
  • Travel Coordination: Arrange complex travel plans for the Academic Director, ensuring seamless travel logistics and accommodations.
  • Team Leadership: Serve as a Team Lead for the department and the faculty administrative support team, promoting a professional, collaborative, and highly efficient, customer-service oriented work environment.
  • Communication: Attend faculty and other meetings as needed by the Directors and draft correspondence as required.

What We Need

  • Associates Degree and 4 to 6 years relevant executive level administrative experience or equivalent combination.
  • Ability to work quickly and effectively under pressure, use judgment in accomplishing tasks that are urgent or of a sensitive or confidential nature, to balance conflicting priorities and make decisions from a range of choices.
  • Effective interpersonal skills and considerable initiative, supported by a strong work ethic to complete tasks in a timely fashion.
  • Superior organizational skills and attention to detail is a must. Excellent writing skills to formulate and present written material in a logical and comprehensive fashion. Outstanding verbal communication skills.
  • Ability to locate, extract, identify, organize and format important information and data; analyze, synthesize and compile data.
  • Demonstrated ability to work in a complex high-pressure environment dealing with diverse constituents and situations using diplomacy and tact, while maintaining a positive, professional, and customer-oriented attitude.
  • Ability to influence others and motivate a team to deliver excellent customer service.
  • Proficient in Microsoft Office.
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.

  • Bachelor's Degree and additional executive level administrative experience, or equivalent combination
