JOB SUMMARY: This position is responsible for providing administrative support and assists with project coordination in the Construction Coordinator office. This includes interaction with all field employees, Construction Managers, Construction Coordinators, Project Analysts, and the RD of Construction.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists with change order processing, foreman performance reports, accounting system project update forms, etc on a real time basis.
  • Provides support by communicating on a daily basis with the Field Technicians on the job schedules and weekly verifying the workers time cards.
  • Provides purchasing support to the Construction Coordinators for materials, parts and equipment (lifts, cranes, storage containers) required daily by foreman and the take-offs, as projects require, ensuring job sites have the needed supplies in a timely and cost effective manner.
  • Provides purchasing support to the Construction Coordinators by following up with vendors on delivery dates to ensure a timely and quality completion of projects.
  • Provides construction support by coordinating deliveries and pick-up for all material, parts, and equipments to ensure job requirements are met.
  • Provides construction support by ordering permits and submittals; and, scheduling start-ups and inspection communicating with construction managers, project managers, and service managers as required.
  • Processes all paperwork necessary for business operations, maintaining schedules and construction data bases and files.
  • Provides administrative support to the RD of Construction.
  • Assists in the coordination and production of the training materials.
  • Perform other duties as assigned.

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES:

  • Basic knowledge of refrigeration and case setting including parts and material required for installation and modification projects.
  • Ability to multi-task effectively and use good organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to work with minimal supervision.
  • Bilingual English-Spanish preferred.

COMPUTER SOFTWARE KNOWLEDGE:

  • Solid working knowledge of use of the Microsoft suite of applications (Word, Excel, etc.).

EDUCATION, EXPERIENCE AND/OR LICENSES:

  • High school diploma or GED with related vocational, technical or trade school classes acceptable with 5 years’ experience in a related industry. Bachelor’s degree preferred.
