Role Overview: The Patient Experience Coordinator plays a vital role in ensuring a smooth and efficient patient experience, from new patient calls to scheduling, to post-treatment care. This position encompasses a diverse range of responsibilities, including schedule management, patient interaction, and administrative tasks.

Key Responsibilities:

  • New Patient Acquisition & Follow-up:
  • Proactively identify and contact new patient leads to schedule appointments.
  • Consistently follow up with unscheduled leads, ensuring no opportunity is missed.
  • Schedule Management & Review:
  • Daily monitoring of doctor and hygiene schedules, ensuring all necessary details such as procedures, TX plans, balances, and insurance breakdowns are updated.
  • Validate that procedures are correctly attached to appointments and make any necessary amendments.
  • Regularly check for any balances in our systems, communicate to appropriate JCD team members, and make appropriate notations.
  • Keep an eye on the scheduling template to ensure doctors and assistants are allocated appropriately. Communicate discrepancies with JCD team members as needed.
  • Patient Experience & Reception:
  • Maintain a welcoming and neat reception area, ensuring comfort for all patients.
  • Efficiently handle daily tasks such as starting up computers, checking emails, voicemails, and attending morning huddles.
  • Manage patient records, confirm next-day appointments, and facilitate the registration process for new patients.
  • Offer top-notch hospitality by greeting patients promptly and offering refreshments.
  • Ensure all necessary patient data is verified, updated, and stored securely.
  • Manage incoming calls, routing them effectively, and handle emergency patient requests.
  • Facilitate checkouts, ensuring all co-payments are collected, and future appointments are scheduled.
  • Help create and present treatment plans to patients.
  • General Administrative Tasks:
  • Scan and organize documents into patient accounts.
  • Monitor broken appointments and maintain updated call lists for various needs, such as recalls and reactivations.
  • Take calls when assigned and inactivate accounts when necessary.
  • Generate and manage reports related to incomplete treatments.

Qualifications & Skills:

  • Previous experience in a dental office or customer service role is preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with a keen eye for detail.
  • Familiarity with dental software and office systems.
  • Ability to multitask and manage time efficiently.
  • Proactive and solution-oriented mindset.

Job Type: Full-time

Pay: $19.20 - $23.00 per hour

Expected hours: 40 per week
