The Purpose:
In an Assistant Property Manager role, you will be responsible for ensuring the efficient operation of the property under the direction of the Property Manager. This person will be self-motivated, creative, and energetic with the ability to multi-task and bring experience and expertise to the position. This position’s primary role is administrative leasing and will be expected to perform all duties as such. The operational, supervision, coordination, and financial aspect of a property (typically 300-400 units) and meeting the company goals in those areas under the direction of the Regional Manager. The objectives will include administrative leasing, maximizing income, and property values; ensuring the property is managed in accordance with industry standards. In addition, the Assistant Property Manager will work with the Property Manager and other team members to see that the property follows and abides by all company policies.

Key Role Responsibilities:

  • Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
  • Provide follow-though and assistance to Community Manager and support staff in coordinating the on-going maintenance of the property.
  • Assist the Community Manager as needed by demonstrating good communication skills and by understanding company and divisional goals, policies, and procedures.
  • Set appointments, show apartments, certify potential residents, and maintain a high percentage of occupancy.
  • Manage processing of applications to ensure rapid turnover of vacant apartments while following selection criteria.
  • Ensure new residents are properly moved in and complete move-in inspection form.
  • Ensure departing residents are properly moved out and all paperwork is completed including final account statements and collections packets.
  • Enforce response procedures regarding resident concerns such as work order requests, noise complaints, etc.
  • Communicate frequently with Property Manager and Regional Manager on vital needs of the community.
  • Enforce lease and other government rules and regulations, including Fair Housing laws, building safety, health codes, and local ordinances.
  • Attract and educate new tenants; perform leasing as needed and assist with lease renewal program.
  • Ensure that all reports including traffic and availability reports, file inspection, lease renewal and delinquency are complete and filed timely and efficiently.
  • Resolve day-to-day resident problems and concerns including maintenance, parking, rent or other charges, safety, and security.
  • Communicate important information to residents with well-written and professional notices.
  • Manage resident retention and relations; investigate and resolve resident complaints.
  • Create and circulate weekly, monthly, quarterly, and annual resident correspondence.
  • Collect and post rent and manage delinquencies/collections.
  • Investigate late payments, post late fees, late notices, and process evictions.
  • Oversee property security deposits and tenant insurance program.
  • Shop competition regularly and have knowledge of their pricing, policies, lease terms, requirements, specials, etc.
  • Assist in supervising and training property staff.
  • Carry out other duties as assigned by the Property Manager or other Leadership staff.
  • Continue to adapt and innovate for maximum efficiency and profitability in a dynamic environment.
  • Develop and maintain positive relationships with tenants, contractors, local community and groups or associations.
  • Resolve day-to-day resident problems and concerns including maintenance, parking, rent or other charges, safety and security.
  • Complete all other duties at the discretion of management.

Primary Requirements Include:

  • At least two years in property management or related industry
  • Familiarity with real estate contracts and leases
  • Developed leadership and communication skills, both verbal and written
  • Experienced in rent collections, posting to G/L, completing daily deposits, calculating SODAs, etc.
  • Must be able to handle crisis appropriately
  • Must be able to communicate effectively in the organization, both verbally and in writing.
  • A complete understanding of Fair Housing
  • Experience with Yardi a plus
  • Solid experience with MS Office
  • Ability to multi-task and prioritize
  • Exhibit strong attention to detail
  • Ability to perform at high levels in a fast-paced work environment and successfully adapt to changing priorities and work demands.

Supervisory responsibilities: This position has a limited supervisory responsibility to assist the property manager over all items and tasks regarding all operations and team members at the assigned property.

Education and/or Experience: High school diploma or general education degree (GED); or 1 - 3 years’ related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and interpret documents such as safety rules, legal notices, lease contracts, vendor agreements, work orders, operating and property instructions, and procedure manuals. Must be able to type efficiently and use a Windows based computer that operate the management software.

Mathematical Skills: Ability to add and subtract two-digit numbers and to multiply and divide by 10's and 100's. Ability to perform these operations using units of American currency, financial calculations as well as weight measurement, volume, and distance.

Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Must be able to remain calm and collected in stressful and intense situations.

Certificates, Licenses, Registrations: This position does not require any certifications. Microsoft, PC, Certified Administrative Professional, Office Assistant, NAA Credentials and other related certifications are beneficial.
