Key Responsibilities:
· Be the warm welcome for our clients, managing their visits with professionalism.
· Coordinate and prepare for client meetings, ensuring every detail is complete and accurate.
· Manage office supplies and maintain our client document system with precision.
· Create a personalized client experience through thoughtful gifts, event planning, and personalized correspondence.
Qualifications:
· High school diploma or general education degree (GED) required
· Formal qualification in office administration, secretarial work, or related training
· 2 years’ experience in administrative and/or customer service role; financial services experience preferred
· Experience working with spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems
· Excellent verbal and written communications skills and a professional demeanor
· Technical proficiency with Microsoft Office, Client Relationship Management (CRM) systems, and the ability to learn new software quickly
· Enjoys working as a team and embraces daily interactions with people
· Pleasant and client service orientated with high touch responsiveness
· Exceptional attention to detail
· Demonstrated ability to multi task and meet deadlines
· Sophisticated organizational skills
· Ability to follow directions given by the Wealth Management Associates and Financial Advisors
· Proven time management skills; a strong sense of urgency in completing work
· Sufficient patience to do repetitive work correctly
