Position Snapshot: The Office Administrator is responsible for overall front office activities, including maintaining the reception area, mail, and coordinating office services and related activities. This position arranges internal office moves and provides arrangements for office and production personnel meetings, and performs other duties as assigned by the Plant Manager. This position is fast-paced and multifaceted, requiring good organizational skills to handle a large volume of work where accuracy is imperative.
Essential Functions and Responsibilities:
  • Manages the reception area to ensure effective telephone and mail communications both internally and externally and maintain professional image.
  • Responsible for maintaining and altering office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities.
  • Responsible for daily production entry as well as order entry, along with COPQ incident reporting.
  • Participates as needed in special department projects.
  • Inventory reconciliation and maintenance, production recording and reporting, human resources liaison, weekly payroll reporting and generates, purchases items as directed by the Facility Manager, reconciles purchase orders, processing receivables/invoices to payables, and preparing monthly accruals.
  • Maintains on-site personnel files, including all hiring documents, orientation training, safety training, job descriptions, job performance reviews, production personnel compensation records, Paid Time Off (PTO) recordkeeping, and disciplinary recordkeeping.
  • Maintains separate medical-related files by employee.
  • Serves as back-up to delivery dispatcher, being capable of managing product delivery scheduling with customers, generating shipping tickets, and directing delivery drivers.

  • Computer literate and familiar with MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Willingness to be trained in company-preferred software programs.
Qualifications:
  • High school diploma or GED equivalent. Associate’s degree is preferred.
  • At least two (2) years of previous experience in office management.
Requirements:
  • Must reside in the continental U.S. within the assigned region. No relocation assistance is provided.
  • Must have a valid driver's license.
  • Must be authorized to work in the U.S. for any employer.
Typical Schedule: Work is generally performed Monday-Friday, 40 hours per week. Overtime evening or weekend work may be required during heavy work periods.
Typical Physical Demands: Physical agility, which may require any or all of the following: standing, sitting, walking, climbing, reaching, bending/stooping, lifting (30lbs. max), pushing/pulling (50lbs. max).
Working Conditions: Work is generally performed in an office environment with conditioned air and fluorescent lighting. May occasionally enter the production environment, with ambient weather/air conditions, loud noise, dangerous equipment, and variable lighting. Personal Protective Equipment (PPE) is required in all production and loading areas.
Compensation: Based on skills, knowledge, and experience.
