Job Description:

As an Office Technician at Complete Design, Inc., you will be an integral part of our team, supporting the daily operations of our firm. Your organizational skills and attention to detail, will be key in managing administrative tasks and facilitating efficient communication among team members. Ability to complete in-depth research into publicly recorded documentation and document data. This role offers an excellent opportunity to work closely with professionals from various disciplines and contribute to the success of exciting architectural, engineering and land survey projects.


Responsibilities:

  • Handle day-to-day office tasks, including managing incoming and outgoing communications, emails, and phone calls.
  • Assist with scheduling meetings, appointments, and coordinating calendars for team members.
  • Prepare, format, and proofread documents, reports, and presentations.
  • Maintain office supplies and equipment, ensuring their availability and functionality.
  • Support the organization and filing of physical and digital documents, drawings, and project files.
  • Assist in the coordination of project-related activities, including document distribution and collaboration with project teams.
  • Completing applications and record requests with various jurisdictions.
  • Help with data entry, record-keeping, and database management.
  • Greet and welcome clients, visitors, and vendors, ensuring a professional and positive first impression.
  • Collaborate with the administrative team to improve office processes and efficiency.


Qualifications:

  • High school diploma or equivalent; additional administrative or office management certifications are a plus.
  • 4 years of experience in an office administrative role, preferably in an architectural & engineering or related environment.
  • Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint, Project & Outlook) and document management systems.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong attention to detail, accuracy, and the capacity to maintain confidentiality.
  • Effective communication and interpersonal skills to interact with colleagues, clients, and visitors.
  • Familiarity with architectural and engineering terminology is an advantage.
  • Positive attitude, willingness to learn, and a proactive approach to problem-solving.
