CCCS Inc. is currently recruiting for a Administrative Support Technician/Data Entry Specialist

The Administrative Support Technician/ Date Entry (OMIS) provides data entry and support services for facility staff and program offenders.

Essential Functions:

1. Answers all incoming telephone calls re-directs calls as necessary.

2. Schedules appointments for the Program Administrator.

3. Assists CCCS, Inc. Corporate Accounting staff with budget adherence and monitoring.

4. Prepares accounting documents for Corporate Accounting Staff.

5. Maintains files and reports as directed by Program Administrator.

6. Types, edits, revises, and distributes documents for Program staff.

7. Creates and generates reports from the Offender Management Information System (OMIS) database as directed by the Program Administrator.

8. Use Offender Management Information System (OMIS) to track locations, view incident reports, and any other pertinent information regarding offenders.

9. Maintains Offender Management Information System (OMIS) database by entering new and updating offender information.

10. Enter location changes in Offender Management Information System (OMIS)

11. Enter disciplinary infractions into Offender Management Information System (OMIS)

12. Scan information/records into the Offender Management Information System (OMIS)

13. Maintains operations by following policies and procedures and reporting as needed.

14. Maintains and protects operations by keeping information confidential.

15. Types and distributes agenda and meeting materials.

16. Takes, prepares, and distributes minutes from meetings.

17. Maintains a file of all agendas, meeting materials, and minutes.

18. Opens and distributes all incoming mail.

19. Prepares outgoing mail including weighing and attaching postage.

20. Types and distributes meeting materials for Program staff meetings.

21. Maintains a file of all meeting materials from staff meetings.

22. Greets visitors as necessary.

23. Orders and maintains supplies as approved by the Program Administrator.

24. Demonstrates knowledge & responsibility in performance of duties as prescribed by facility procedures.

Other Job Functions:

All other Duties as assigned by the Program Administrator.

Required Annual Training:

Employees new to CCCS, Inc. are required to complete at least forty (40) hours of training relevant to their position during the first year of employment.

The Administrative Support Technician/ Data Entry (OMIS) is required to complete at least sixteen (16) hours of training during each year of employment.

Additional training hours may be required for disciplinary, emergency, or program-need reasons as determined by the Program Administrator.

Working Conditions:

Working conditions are inside in a climate-controlled environment with occasional background noise. Occasional travel may be required.

The Administrative Support Technician works five (5), eight (8) hour shift per week.

Material and Equipment Used:

Considerable documentation and paperwork requirements exist. The Administrative Support Technician must be able to organize and manage time effectively and manage multiple tasks.

Physical Activities Required to Perform Essential Functions:

Approximately 90% of time is spent seated while working at a desk or in meetings. Balance of time (approximately 10%) is spent standing or moving around working areas and outside locations.

: Clear diction and acute hearing are necessary for interaction with the public, contacts, and co-workers. Acute hearing is also necessary for dictaphone transcription.

Corrected vision close to 20/20 is necessary for effective use of computer screens.

Good manual dexterity for computer keyboard use and the ability to retrieve and work with appropriate paperwork, equipment, and supplies.

Knowledge Skills and Abilities Required:

1. Excellent written and oral communication skills.

2. Strong organizational skills.

3. Ability to assess priorities and work well under pressure; excellent time-management, problem-

solving and analytical skills.

4. Ability to work with contacts, the public, co-workers professionally and tactfully.

5. Professional and businesslike in appearance and demeanor.

Minimum Qualifications:

1. High school graduate or equivalent;

2. Ability to type at least 50-wpm;

3. Ability to perform data entry functions with minimal errors.

4. Knowledge of word processing, spreadsheet, and database programs. CCCS Programs use

Windows 2000 and Microsoft Office (WORD, Excel and Access) applications.

Preferred Qualifications:

1. Ability to decipher complex legal documents

2. Basic bookkeeping skills.

Job Type: Full-time

Pay: $16.00 - $21.00 per hour
