Community Association Management Services is Hiring a Part-Time Assistant Community Manager Near Bolivia, NC

Description

CAMS, a community association management company, has maintained our role as an industry leader for the last 30 years due to the dedication of our highly knowledgeable, expertly-trained and certified team members. CAMS is dedicated to providing a higher standard of quality service to our association boards, homeowners and vendors with our professionalism, accountability and commitment to excellence. Our Management, Community Support, Accounting and Maintenance Departments work cooperatively, as well as collaboratively to insure success and satisfaction for our clients.

CAMS is on the search for an Assistant Community Manager to be responsible for providing administrative support/services by implementing and adhering to the administrative systems, procedures and policies and monitoring administrative projects. In addition, oversee the appearance and maintenance needs of office facilities to ensure contractual obligations are being met and overall office is in good working order. 

Hours of Work: Generally, the hours of work would be from 10:00am – 4:00pm three days per week (Monday/Wednesday/Friday; Fridays a must; flexible on the other two).

Pay is $15.00 per hour

Responsibilities

Daily

- Perform as the principal on-site administrator

- Answer and refer telephone calls or other inquires to ensure accurate and timely communications are facilitated.

- Post updates to the CAMS association website

- Respond constructively even when owners/contractors/others are upset.

- Responsible for the daily operation of the community/facilities pursuant to the policies and procedures established by the Association.

- Interact daily with Members.

- Resolve numerous issues so they stop there.

- Maintain good judgement, accuracy, and consistency in verbal and written communications. 

- Work well independently, be well organized, and help others with reminders and staying ahead of deadlines throughout the year. 

- Dependably follow through

- Check voicemail and return calls by end of workday.

- Check email and return emails within 24 hours of receipt, by noon on Monday for emails received over weekends and by noon the first business day after holidays. 

As Needed

- Attend to association members’ and their guests’ requests.

o Produce work orders/Service requests

- Assist Manager in distributing

o General correspondence

o Annual and Board Meeting Notices

- Forward communications for others.

- Reserve meeting locations such as clubhouse, Front Office Conference Room.

- Work with Committee Chairs.

- Act as liaison for the Architectural Review Committee and maintain accurate records of ARC activity. 

- Respond to incoming calls regarding information for homeowners regarding:

o Maintenance and repair

o Rules and regulations

- Process general mailings

- Produce and follow up on work orders/service requests.

- Create records requested by the board; providing administrative assistance it requests.

- Process, file and readily find association records. 

- Distribute amenity access keys/cards. Protect security by maintaining accurate records of the keys and requests for them. Ensure requests for gate cards comply with board policy for number per unit and costs. Keep a record of each permissible transaction. Refuse graciously requests that exceed maximums. 

- Maintain clubhouse reservations, including handling of payments and refunds for security deposits and cleaning through use of Vantaca.

- Other responsibilities include: Heavy computer work, copying, faxing
