Community Action Agency of South Central Michigan is Hiring a Human Resource Administrative Assistant- Battle Creek, MI Near Battle Creek, MI

  • Greets staff and visitors with a positive, helpful attitude
  • Answers incoming telephone calls in a professional manner, forwarding calls to appropriate personnel.
  • Performs -administrative and clerical duties including processing information by computer, typing, copying projects, filing, answering Agency telephone, utilizing agency software, scheduling appointments. *
  • Provides exceptional level of customer service at all levels of the organization. *
  • Enters training events and training hours into Child Plus on-line, including the appropriate documentation/forms.
  • Maintains accurate and up-to-date personnel files, program staff licensing and/or monitoring files and other required human resource records, i.e. I-9s, Drivers Licenses.
  • Maintains the integrity and confidentiality of personnel files and human resource records communication.
  • Performs personnel file audits, record/document tracking and data entry. Ensuring that all required documents are collected and filed appropriately and timely.
  • Provides clerical support to the Human Resource Department.
  • Conducts new hire orientation and manages on-boarding processes. Creates new hire orientation packets and ensure current forms are in the packets. *
  • Sends out 60- and 180-day surveys and provides survey reports to HR Manager.
  • Processes candidate thank you no thank communications electronically and physically and data enters required information in tracking spreadsheet. * Provide monthly report updates to HR Manager.
  • Data enters employee (new or updated) information and electronically uploads required documents into Child Plus and HR Management systems i.e. new hire paperwork, Staff Change of Status, unemployment, taxes and education, licensing, medical data and employee termination information. *
  • Other duties as assigned by the Senior Management.
  • Assists with planning and attends meetings and company events as requested. *
  • Develops employee rapport via visibility and involvement at all locations.*
  • Ensures consistent application and compliance with agency/program policies and state and federal employment laws.*
  • Complies with Agency Mission, Vision, and Culture Statements.
  • Maintains accurate and up-to-date personnel/confidential/terminated employee files.
  • Responsible for working with others throughout the organization to ensure timely responses and accurate submission of missing required employee paperwork. *
  • Manages employee identification badges for all employees. *
  • Takes inventory of recruitment and HR department supplies and places orders to maintain sufficient stock.
  • Assists with entering training events and hours into Child Plus on-line, including the appropriate documentation/forms.
  • Regularly required to sit, to use hands to finger, handle, or feel, and talk or hear.
  • Frequently required to reach with hands and arms.
  • Occasionally required to stand, bend, and walk.
  • Must be able to occasionally lift and/or move up to 30 pounds.
  • Specific vision abilities required by this job include close, distance, and peripheral vision, depth perception and ability to adjust focus.
  • Must have the ability to travel in motor vehicle and/or other forms of transportation for hours at a time and have physical mobility to move around airports as well as in and out of motor vehicles.

Education: High School Diploma or GED. A.A. degree Business Administration focus on Human Resources or related field preferred.

Experience: Between one and three years of Human Resource experience required.
