Commonwealth of VA Careers is Hiring an ICA Events Assistant (Part-time) Near Richmond, VA
The Institute for Contemporary Art (ICA) at Virginia Commonwealth University is seeking a part-time Events Assistant. The role provides administrative and on-site support for a wide variety of programs and events at the ICA, including: artist talks, performances, film screenings, symposia, festivals, donor events, and opening receptions. The Events Assistant works most closely with the ICA's Special Events Manager and the Head of Program Production. The Events Assistant interacts with a wide variety of people: staff from all of the ICA's departments, artists, performers, visitors, and vendors, such as caterers, A/V techs, and piano movers. Some working hours will be spent completing tasks at a computer, while others will be active in the ICA's public spaces (auditorium and forum, for example). The nature of the job requires someone who is flexible, creative, and can think quickly on their feet, and who is able to attend to event details and persnickety administrative tasks with patience. Responsibilities include:
Support event setup and breakdown
Serve as on-site manager for selected small-scale events
Greet and assist event attendees
Coordinate with museum staff and volunteers to ensure seamless event operations
Assist in managing event RSVPs, registrations, and ticketing processes
Prepare event materials such as programs, name tags, attendee lists, and other deliverables
Organize and maintain event inventory, supplies and equipment
Organize in-house event supplies (linens, tables, chairs)
Monitor event spaces to ensure they are clean, organized, and presentable at all times
Perform other duties as assigned to support the museum's overall mission and goals
The Events Assistant must be able to stand for long periods of time, navigate stairs and tight spaces, and lift 30-50 pounds (for example, to set up event tables). The person in this role can expect to work about 20 hours per week, depending on the program schedule, and must be available to work evening and weekend hours. The Events Assistant works primarily on-site at the ICA.
