Commonpoint Queens is Hiring a Resettlement Operations Coordinator (FT) Near Queens, NY

Commonpoint Queens seeks a Resettlement Operations Coordinator to support our Resettlement & Integration team with the day-to-day operations of all refugee resettlement programming. The Resettlement Operations Coordinator will facilitate screening and assessment of new walk-in clients, as well as provide support with office management, fiscal processing and tracking, recruitment and onboarding of new staff, event preparation and other duties. The Resettlement Operations Coordinator will report to the Director, Resettlement & Integration. Fluency in one or more refugee languages is strongly preferred.
DUTIES AND RESPONSIBILITIES:
  • Collaborates with Senior Director and Director, Resettlement & Integration to support operations of resettlement programing.
  • Covers front desk and switchboard, answers all incoming resettlement calls, and handles resettlement-eligible client traffic, including appointments and walk-ins. 
  • Monitors Resettlement & Integration team’s general email inbox; responds to all emails in a timely manner.
  • Manages the check-in process and ensures that clients are directed to the appropriate staff member in a timely fashion. 
  • Conducts and/or facilitates screening and assessment of resettlement-eligible call-in or walk-in clients, as well as their general orientation to resettlement services. 
  • Collaborates with Assistant Directors and Program Managers to refer clients to appropriate programs and staff members.
  • Tracks all client call-ins and walk-ins, as well as program referrals and enrollment.
  • Assists with biweekly processing and tracking of client direct financial assistance requests.
  • Processes department invoices to ensure timely submission to the fiscal department, including accurate coding and record keeping.
  • Coordinates with Assistant Directors, Director and Human Resources to facilitate recruitment of new staff (including initial application review and reference calls), as well as onboarding of all new staff (including ordering and preparing technology, requesting photo IDs, obtaining access to various drives, databases and websites).
  • Manages resettlement office and desk reservation system. 
  • Receives and processes all resettlement client mail; coordinates with program staff to mail client checks as needed.
  • Coordinates ordering of all office and program supplies with program staff; monitors and keeps track of all program inventory. 
  • Collaborates with the Volunteer Services team to receive and organize incoming donations. 
  • Facilitates submission of IT and building services support tickets; monitors completion of issues. 
  • Collaborates with Director and program staff to coordinate and oversee client, funder, and stakeholder events and visits. 
  • Conducts preparation for department and program events, such as scheduling rooms, ordering refreshments, supplies, as needed.
  • Sends out timely reminders to departmental staff regarding agency and programmatic deadlines, building updates, and policy updates. 
  • Completes other administrative tasks for resettlement programs as needed.
QUALIFICATIONS & REQUIREMENTS:
  • Associate’s or Bachelor’s degree, or equivalent combination of education and relevant experience.
  • Fluency in one or more refugee languages (Spanish, Dari, Pashto, Arabic, Ukrainian, Russian, Burmese, Haitian Creole, French, Kikongo, Lingala, Swahili, etc.) strongly preferred.
  • 2-3 years of administrative experience in a fast-paced office setting preferred.
  • Excellent customer service, problem-solving and organizational skills required.
  • Demonstrated cultural competency through familiarity in working with people from diverse backgrounds.
  • Excellent interpersonal skills, as well as verbal and written communication skills.
  • Excellent computer skills, including experience with Salesforce, Microsoft Office and Google applications (Gmail, Calendar, Contacts, Docs, Sheets, etc.).
