Columbus School for Girls (CSG) is an independent day school in Columbus, Ohio, founded in 1898, serving diverse students in grades preschool through grade 12. SUMMARY

The Enrollment Operations Coordinator is an integral part of the enrollment team at CSG, serving as both the front of the office for new families and the central cog of our internal operations. The Enrollment Operations Coordinator will be responsible for overseeing all aspects of the admission office database, from inquiry to enrollment and re-enrollment. The Enrollment Operations Coordinator will coordinate all aspects of the application process, including, but not limited to, the systematic and efficient handling of applicant files, applicant documentation and correspondence with candidates and their parents; maintain the admission office calendar; schedule and compile admission office mailings; assist with admission statistics for NAIS, OAIS, and ISACS; and maintain the cumulative enrollment report, end of month report and additional admission office statistics as needed. The Enrollment Operations Coordinator works as part of a five-member Admission Team to assist families throughout the application process and will report to the Director of Enrollment Management. As the first point of contact for families both on and off campus, the Enrollment Operations Coordinator should create a welcoming environment which is reflective of CSG’s warm community. This job is a temporary position that has the possibility of transitioning into a permanent position after the needs and expectations of the job have been evaluated. 

RESPONSIBILITIES

  • Assist with Admission Office telephone and/or route calls to appropriate team member
  • Manage admission office database including the continuous and consistent updating and tracking of incoming information regarding inquiries/applicants from original contact through final decision
  • Ensure clean data entry as inquiry and application data is processed
  • Manage flow of admission correspondence, including reminders about events, dates, and deadlines, admission application and tuition assistance application reminders
  • Partner with the Tuition Assistance Manager and Database Coordinator to create and issue all school enrollment and re-enrollment contracts and financial aid agreements, including all revisions and amendments. Also responsible for yearly update/revision of Contract and Financial Aid boilerplates.
  • Assist with admission correspondence in regards to admission decisions
  • Responsible for preparation/coordination and processing of all in-house mailings, including daily mailing of admissions packets
  • Assist with management and planning of on-campus department events including Open Houses, Student Visits, Shadow Days, retention events, and more, including preparation of personalized schedules, packets, name tags, work orders, etc., and assisting visitors during events
  • Compile weekly and historical comparison statistics and generate reports
  • Maintain department calendar 
  • Keeper of historical timelines/data
  • Ready completed applications for committee review
  • Responsible for maintaining quarterly Admission Office inventory, ordering office supplies and admissions materials/giveaways
  • Responsible for replenishing admission materials in racks on campus
  • Serve as testing coordinator for ISEE testing days and PYC Assessments

QUALIFICATIONS

  • Must possess high energy, strong organizational skills, and general office management skills. 
  • Proficiency with software and hardware–and the ability to learn or implement new systems–is necessary.
  • Must have outstanding interpersonal skills and an enthusiasm for helping others, as they are often the first point of contact for prospective families.
  • Relationship-oriented, community-minded, nimble, and organized. 
  • A strong belief in the benefits of an all-girl education and an appreciation for a closely knit, mission and values-based community of academic excellence are also necessary. 

EDUCATION

An associate’s degree or higher is preferred.

POSITION HOURS AND OTHER INFORMATION

  • This staff position is a 12 month, full time, salary exempt position that is benefits eligible.
  • Normal hours of work are 8:00 a.m. to 4:30 p.m. 
  • Weekend and evening work is required.
  • This job is a temporary position that has the possibility of transitioning into a permanent position after the needs and expectations of the job have been evaluated. 

PHYSICAL DEMANDS

The physical demands include being able to sit, talk, hear, stand; use hand to finger, handle, or feel; and reach hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required for this job include close and distance vision.
