Definition

This job posting is for a qualifying noncompetitive position. The hiring department will conduct a preliminary review of your application to determine who to interview. Under direction, is responsible for performing complex, administrative, and confidential secretarial tasks for an executive position ranked higher than a senior executive director; performs related duties as required.
Examples of Work

  • Serves as liaison between the department, school administrators, representatives of the Board of Education, institutions, community organizations, and other districts.
  • Reads, prioritizes, and replies when needed to a high volume of email communications on behalf of the executive in a timely manner and throughout the day.
  • Answers inquiries and complaints; furnishes information pertaining to the District.
  • Prepares, oversees, and coordinates processing of authorization resolutions and personnel legislation.
  • Approves and processes vendor payments for department.
  • Compiles information, prepares reports, and proofreads various materials for use by the District.
  • Provides assistance in responding to emails sent to the executive.
  • Schedules meetings, arranges accommodations, prepares materials, and provides special equipment for use by the executive.
  • Creates reports, policies, procedures, newsletters, commendations, or handbooks to be used by District.
  • Handles confidential correspondence, materials, documents, telephone calls, and information for the District with discretion and sensitivity.
  • Maintains appointment calendars and sets up appointments for the executive.
  • Maintains and monitors departmental budgets; prepares requisitions, processes purchase orders, and ensures expenditures are within budget.
  • Organizes, inventories, and orders departmental office supplies.
  • Composes letters and responses, independently, to general inquiries on matters involving the District.
  • Determines work priorities, timelines, and direction of work provided by the executive.
  • Develops and types forms, fact sheets, and news releases for use by the District.
Minimum Qualifications

Completion of the twelfth school grade and five (5) years of secretarial experience. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of the twelfth school grade requirement.

The examination process will consist of an office/computer Skills test covering Customer Service, Spelling, Sentence Clarity, Reading Comprehension, Word 2013, Excel 2013, Outlook 2010, PowerPoint 2013, Windows 7, Problem Sensing, and Typing..

The exam is expected to be administered on May 17, 2024. Approved applicants will be notified by email of their scheduled test date and time.

Candidates must bring a picture ID to the test.

All applicants must complete all phases of the testing process in order to receive a final score. The names of all candidates who pass this examination will remain on the eligible list for two years, unless the eligible list is replaced prior to or extended beyond the two years. If a candidate's name is certified and the candidate is to be considered for employment, the hiring process will include one or more interviews, a criminal background check, and may include a pre-employment drug test.
