Summary: This position is “forward-facing” and interacts heavily with visitors, coworkers, employees and applicants by managing incoming calls and visitors promptly, courteously, and accurately. Receives and correctly routes incoming and outgoing telephone activity, mail and outgoing packages. Greets visitors, applicants and callers, determines the nature of needs, and alerts appropriate office, department or employee. Responds to routine inquiries from internal or external sources, and may perform miscellaneous administrative activities such as booking meeting rooms, filing, organizing and assisting with the new employee process.

Essential Duties and Responsibilities:

· Receives and correctly routes incoming and outgoing telephone calls at a switchboard or multi-line phone and maintain long distance call logs. Takes and distributes accurate messages. Responds to routine inquiries from internal or external sources, for example on the organization's location or hours of operation. Professionally answer incoming calls, direct accordingly, determine route for “cold calls,” transfer callers to other offices, give directions, and call cell phone numbers for outside callers.

· Greet clients/visitors in a professional, friendly and hospitable manner. Determines the nature of their visit; issues visitor passes and maintains visitor logs; alerts appropriate party of visitor arrival or directs visitors to appropriate office, department or employee.

· Serve as an information resource for internal customers. Schedules and coordinates meetings, conference calls, and other executive events; informs attendees/participants of function dates and times, reserves meeting space, provides audio/visual and other ancillary equipment/materials, if required, and hospitality services when appropriate

· Assembles information, prepares reports, manuals, agendas and correspondence. Works with manger or staff members to prepare presentation materials. Performs miscellaneous administrative activities as requested. May perform other related duties and responsibilities as assigned and/or required including leading or participating in projects as necessary.

Education/Experience:

· High School or GED required, some college preferred.

· Three years related experience, preferably in a busy manufacturing setting.

· Functional knowledge of MS Office Suite and knowledge of industry product reporting systems.

· Ability to read and interpret documents such as letters, memoranda, invoices, policies and other documentation.

· Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions, and to deal with problems involving a few concrete variables in standardized situations.

· Sufficient mathematical skills to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals accurately. Ability to compute rate, ratio, and percent correctly. Ability to lead problem solving and troubleshooting efforts associated with operational-level process issues.

Subject to plan rules, this position is eligible to participate in our health, prescription, dental vision, disability, accidental death & dismemberment, life insurance program, and 401(k) & Roth retirement savings plan with a company match. This position also participates in vacation and sick leave pay programs. The pay range for this position is $17.00 to $19.00 per hour, based on experience and qualifications. This position is bonus eligible, however, anyone who commences employment after the beginning of the bonus plan period is eligible for a prorated portion of any bonus deemed earned and payable if he or she is hired and active prior to 180 days before the bonus plan period ends.
