Colorado Office of Economic Development & International Trade is Hiring an Administrative Coordinator - Colorado Tourism Office Near Denver, CO

Department Information

The Governor's Office of Economic Development and International Trade ("OEDIT") was created to foster a positive business climate that encourages quality economic development through the support of local and regional economic development activities throughout the State of Colorado. The mission of the Colorado Tourism Office (CTO) is to drive traveler spending through the promotion and development of compelling, sustainable travel experiences throughout our four-corner state. The CTO promotes Colorado to travelers through domestic and international marketing, public relations, social media, the Official State Vacation Guide, and colorado.com and provides traveler services at Colorado Welcome Centers. The CTO collaborates with destination marketing organizations, local communities, industry associations, government agencies, and private businesses both to market Colorado to travelers and supports the development of new travel opportunities. The CTO is focused on a vision to position Colorado as the premier U.S. destination for active, outdoor, and unique experiences that make you feel truly alive.
Description of Job

The following provides a high-level job definition. It is not intended to provide a comprehensive or exclusive list of job duties. As such, job duties and/or responsibilities within the context of this job requisition may change at the discretion of the employee's direct supervisor.

The Administrative Coordinator provides support to various projects within the CTO while coordinating core functions of the office. This includes, but is not limited to, serving as the CTO's main point of contact for the Colorado Tourism Board, assisting fiscal needs and grant funding, directing inquiries, working with the staff, updating board orientation, etc. The Administrative Coordinator provides support for various office-wide initiatives including but not limited to the Meeting & Events Incentive Program, International Tourism, and the Annual Governor's Conference on Tourism.

KEY DUTIES AND RESPONSIBILITIES:

  • Scheduling/Support for CTO Director

  • Assists the CTO Director with coordination of meetings, speaking commitments, presentations, conference attendance, travel arrangements, and travel reimbursement.

  • Coordinates response to general inquiries and assists staff in sharing correspondence with tourism industry stakeholders.

  • Assists with coordination and scheduling of meetings, workshops, and listening sessions for office initiatives.

  • Review of research platforms, ability to pull requested data.

  • Manage and edit industry facing Colorado Tourism Office website using Drupal platform with focus on accessibility standards.

GENERAL SUPPORT CTO

  • Assists the Department heads with travel authorizations, travel arrangements, and travel reimbursement.

  • Assists the Department heads with committee meetings, including scheduling and writing/sharing agenda, reports, and minutes.

  • With input from the CTO team, selects and orders promotional items and awards to support mission and events and assists in tracking inventory.

  • Assists Senior Fiscal Operations Manager with reporting and processes with expense reports and credit cards for Department heads.

  • Other duties as requested/required by the CTO Director.

COLORADO TOURISM BOARD

  • Serves as primary contact for members of the Colorado Tourism Board for general inquiries, travel reimbursement, and attendance at meetings and events.

  • Prepares, distributes, and maintains regular Board correspondence, including bi-monthly board reports, meeting agendas, board calendar, board minutes, and other board materials as needed.

  • Manages annual online Board Book.

  • Prepares and coordinates Board orientation sessions as needed.

  • Plans and implements arrangements for bimonthly Colorado Tourism Board meetings, both on- and off-site, as well as annual Board retreats and mini-retreats, as needed.

  • Under the supervision of the CTO Director, develops and fields surveys to collect Board Member feedback.

  • Outreach to board members for sub-committee work, as needed.

PROJECT AND PROGRAM SUPPORT

  • Coordinates response to general inquiries and assists departments in sharing correspondence with tourism industry stakeholders.

  • Supports funding programs by assisting to obtain and review required documentation for grant compliance.

  • Supports the Welcome Center Program by assisting the Director of Visitor Services with industry literature reviews and approvals. Supports state welcome center staff with the usage of Salesforce, ordering of name badges, and business cards.

  • Supports nomination and designation of Frontline Tourism Worker Awards for National Travel and Tourism Week & other US Travel Association initiatives

  • Other duties as requested/required by the CTO Director.

OPERATIONAL SUPPORT

  • Assists Department heads with Salesforce invoicing, solicitation requirements & administrative tasks.

  • Assists all CTO departments with hiring processes, including a compilation of applications, scheduling interviews, and connecting applicants with screening tests.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

This position requires a person with a positive attitude and good judgment who is highly organized and is a self-starter, relationship builder, and problem solver. Candidates should be able to demonstrate strong organizational skills and attention to detail; strong oral and written communications skills; problem-solving ability; and personal integrity, confidence, and diplomacy as well as flexibility. Strong proficiency in Google Apps and Microsoft Word, PowerPoint, and Excel are essential.

EDUCATION AND EXPERIENCE:

Bachelor's degree, with a degree in a tourism-related field, preferred, and/or a minimum of three years of related experience in administrative roles with increasing responsibilities.

Conditions of Employment

  • Applicants must pass a thorough background check prior to employment.

  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must disclose the information on the application and provide an explanation why the prior termination or resignation should not disqualify their application from the current position.

Supplemental Information

Salary Range: $50,000 - $55,000 Annually

This position is considered non-classified, which means the position is not part of the Colorado State Personnel System. Therefore, the individual appointed to this position is considered at-will, and is not covered by the State Personnel Rules or the State Classification System. However, this position does come with the same benefits (retirement, insurance, etc.) as every other State employee, and with the same opportunities, pride and passion that comes with working for the great State of Colorado. Even though employment is at-will, non-classified positions have protections against discrimination and retaliation in state and federal employment laws. "At-will" employment means that either the employee or the State may terminate the employment relationship at any time for any reason or no reason, with or without notice or cause, as long as no federal or state law is violated.

A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the Colorado Equal Pay for Equal Work Act. The salary analysis considers relevant experience, education, certifications, and state seniority as compared to others doing substantially similar work. While all offers are compliant with the Colorado Equal Pay for Equal Work Act, there is no guarantee an offer will be at the top of the posted range based on the salary analysis.
