STATEMENT OF DUTIES

OCR is an independent agency within the State of Colorado Judicial Branch that supports and oversees guardians ad litem (GAL). The OCR employs 12 attorneys, 4 case coordinators and 3 administrative staff members in its El Paso County GAL Office in Colorado Springs, Colorado. THIS POSTING IS FOR A POSITION AT THE EL PASO COUNTY GAL OFFICE.

BROAD SCOPE OF POSITION: The Administrative Specialist will provide secretarial and clerical support services for the Office of the Guardian Ad Litem.

ESSENTIAL FUNCTIONS

  • Maintaining the front desk, including answering the main office phone line and greeting visitors and clients and directing appropriately.
  • Perform various administrative office duties, including but not limited to filing case documents, managing mail, faxing, copying.
  • Complete data entry in the office database, OCR CARES.
  • Complete various word processing projects.
  • Request records from various sources to support client representation.
  • Take direction from the management team on miscellaneous projects.
  • Maintain confidentiality of client files and operations of the office.
  • Perform all tasks in a prompt, efficient, and organized manner.
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS

  • High School diploma or equivalent.
  • Excellent work references that demonstrate an ability to easily adapt to an administrative office role.
  • Ability to work effectively with office staff, multiple attorneys, court staff, and the general public.
  • Strong skills with grammar, spelling, and punctuation.
  • Proficiency in software applications including Microsoft Office, Windows, and internet and cloud-based programs.
  • Ability to communicate effectively and work cooperatively with others.
  • Ability to exercise good judgment and discretion.
  • Ability to organize and prioritize work, and to work independently.

WORK ENVIRONMENT

The position requires work in an office setting, however working remotely from home is allowed occasionally. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. This position routinely handles emergent or crisis situations and may be frequently subject to interruptions, multiple calls and inquiries. The noise level in the shared office environment is generally moderate.

OTHER DUTIES/TRAVEL

The OCR El Paso County Office’s primary work takes place in El Paso County; however, special projects or duties outside the primary scope of the position may be assigned by the Managing Attorney. Office and agency needs may require travel to events outside of the Front Range, including meetings, training and conferences (state and national). The estimated work time to travel outside of the Front Range for this position is less than 5 percent.
