Patient Coordinator/Receptionist

Cole Aesthetic Center – Silverdale, WA 98383

Job Summary

Responsibilities include but are not limited to: - Greeting patients and making them feel welcome - Answering a multi-line telephone - Maintaining patient records - Verifying insurance benefits and eligibility - Managing patient recall and continuing care appointments - Manage various office tasks pertaining to the efficient and effective patient flow process

Necessary Skills

1. Medical terminology

2. Strong organizational and interpersonal skills

3. Working knowledge of computer applications: word processing, medical office management, and spread sheets

4. Familiarity of third-party payer systems

5. Ability to accurately record and transmit detailed information.

6. Well-developed written and oral communication skills.

7. Demonstrate excellent customer service principles.

8. Previous experience in operation of office machinery; personal computer, printers, copiers, fax, telephone systems

9. Ability to reach, stoop, walk and lift 25 lbs. Adequate vision, speech and hearing.

10. Ability to sit and stand for extended time periods.

Key Responsibilities

  • Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
  • Maintain safe, secure, and healthy patient care by adhering to organization standards and policies, to legal regulations, alerting others regarding potential concerns.
  • Assist patients with patient portal set up.
  • Promote and Inform patients of sales and specials of products/services.
  • Participate in educational activities and attend staff meetings.
  • Conduct self in accordance with CAC’s employee manual.
  • Maintain strict confidentiality; adheres to all HIPAA guidelines/regulations.
  • Maintain patient confidence and medical job knowledge by attending training sessions.
  • Any other tasks delegated by Practice Manager and/or managing physician.
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by efficiently scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Obtains revenue by recording and updating financial information; recording and collecting patient charges; controlling credit extended to patients; filing, collecting, and expediting third-party claims.
  • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
  • Obtain current insurance information
  • Request and record all co-payments, and any monies past due.
  • Update patient demographic date in practice management system.
  • Maintain and balance cash box with receipts.
  • Perform end of day functions as assigned.
  • Make reminder calls to patients.
  • Prepare new patient paperwork for the next day.
  • Helps patients in distress by responding to emergencies.
  • Protects patients' rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team effort by monitoring fax and voicemails in timely manner

Job Type: Part Time/Full Time 26 – 40hours per week

Required education:

  • High school education or equivalent
  • Required experience:
  • Minimum of 1 year in a medical setting
  • Experience in customer service, aesthetics and/or sales & marketing is preferred.

Job Types: Full-time, Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: No more than 40 per week
