Job Description: Office Services Support/Receptionist

  • Ad hoc administrative duties
  • Answer phones and route voicemail to respective employees
  • Arrange for courier service
  • Assistance with breakdown of boxes for garbage/recycling
  • Check main e-Fax line and forward accordingly
  • Clean coffee machines on daily/weekly basis
  • Code invoices in AP Master
  • Employee expense reports - review and post
  • Financial Statements for Quality Control – Printing, binding, and sending to clients
  • Frontline contact for employee and guests
  • General Office Services requests and support for employees on-site
  • Meet/greet employee, guests & vendors and assist them in navigating space
  • Monitor e-Fax mailbox – remove / dup of above
  • Monitor Office Services mailbox for business support needs and requests
  • NEWY and PARS daily check deposits
  • Order office, kitchen, and business-related supplies
  • Postage Meter – Run usage monthly report for Shona, run mail through
  • Printers/Copiers – Schedule service, change toner, order toner
  • Reserve and manage meeting room availability
  • Retrieve NEWY and PARS mail and packages daily
  • Review monthly building security report with CR employee listing in Outlook
  • Setup assistance with social events and food deliveries
  • Stock, inventory and order office and kitchen supplies
  • Send client mail to specific employee's home addresses
  • Sort mail, checks, scan, and email other mail to appropriate parties


Required Skills:

  • Minimum 5 years of reception/concierge work experience required
  • Ability to operate with a sense of urgency
  • Ability to work independently with limited supervision as well as work cooperatively with all levels of management and employees
  • Administrative support work, office practices and administrative procedures experience is a plus
  • Capable of lifting and moving up to 50lbs of equipment and supplies
  • Capability to work in a fast-paced environment and meet deadlines
  • Demonstrated team player with a flexible personality and positive attitude
  • Demonstrated client focus experience interacting with senior level executives
  • Flexibility to change direction frequently between tasks and between different clients
  • Flexibility to work additional hours during peak periods of the year
  • Highly motivated with excellent organizational and interpersonal skills
  • Intermediate to advanced knowledge of MS Office – especially, Word, Excel, and Outlook
  • Knowledgeable of business grammar and basic proofreading skills
  • Open to constructive feedback and on-going self-improvement
  • Professional demeanor and appearance necessary always
  • Strong written and verbal communication skills
  • Superior organizational and follow-through skills with strong attention given to details and deadlines
  • Tech savvy with the ability and desire to embrace necessary software applications to learn new computer programs
  • Proven ability to work in a high-volume, fast-paced, deadline driven environment and handle multiple projects while prioritizing, planning, and organizing projects simultaneously
