Office Administrator / Receptionist

Princeton, NJ / Charleston, WV

Must be personable and welcoming to set the right tone daily for employees, visitors, and vendors.

  • Monitor site entrance and greet all employees, visitors, clients, vendors, job candidates, etc. and ensure completion and maintain all paperwork, sign-in sheets, and any other security processes and procedures.
  • Ensure authorized people have proper verification to access the site and that unauthorized people cannot enter the site without proper credentials and escorts.
  • Monitor and maintain video and access control systems.
  • Completes reports by recording observations, information, occurrences, and surveillance activities.
  • Perform security duties such as but not limited to security observation, badge creation, incident reports, security policy enforcement, etc.
  • Follow security procedures, such as monitoring and maintaining forgot / lost and temporary badge reports and daily.
  • Educate employees on proper security procedures and requirements.
  • Place, receive and route phone calls through various channels and supply information to callers, relay messages, and announce visitors to proper staff.
  • Monitor and issue visitor badges per security procedures.
  • Maintain attendance support phone line and distribute information to management accordingly.
  • Perform basic clerical tasks.
  • Monitor daily and receive incoming packages from multiple carriers and coordinate any outgoing packages as needed.
  • Sort, route, and distribute incoming packages / mail as needed.
  • Perform basic administration support, such as systematically arranging letters, memoranda, invoices, and other indexed documents according to an established system.

Operate various office equipment and complete general office duties as assigned.

  • Work with leadership on a day-to-day basis to communicate all process and procedures are followed.
  • Escort vendors on a day-to-day basis throughout site.
  • Client Visit Coordination.
  • Employee engagement activities coordination.
  • Light site cleaning as necessary.
  • Budgetary Support as assigned.

Minimum Requirements :

  • Basic Computer skills
  • Ability to learn basic new systems
  • Reliable, professional, courteous, and patient
  • Good communication and writing skills
  • Very Confidential
  • Ability to keep busy during down times
  • Able to organize information with minimal guidance
  • Working knowledge of Microsoft Office Suite and data entry skills
  • Must have a high school diploma or general education degree (GED)
