COBRE VALLEY REGIONAL MEDICAL CENTER is Hiring an Executive Assistant to the CEO/Board Near Globe, AZ

Assists the Chief Executive Officer in the accomplishment of his/her duties. Acts as a direct liaison between the CEO and Administrative Directors/employees. Supervises all day-to-day Administrative Office functions and staff. Directly supports all Board functions through CEO. Adheres to the principals, philosophy and mission of Cobre Valley Regional Medical Center in all aspects of job performance.
TYPICAL DUTIES AND RESPONSIBILITIES:
1. Acts as a direct liaison between hospital personnel and CEO.
2. Schedules and/or coordinates appointments for the CEO; updates CEO's calendars and appointment schedule as needed. Answers telephone; screens CEO calls, takes messages; logs CEO telephone calls and promptly notifies CEO of priority messages; sorts and processes CEO's mail.
3. Consistently demonstrates job performance which reflects commitment to the core values of CVRMC; actively promotes the hospital and supports the mission and core values of CVRMC.
4. Maintains CEO's appointment schedule to allow flexibility but also to minimize competing demands on the CEO's time.
5. Establishes and maintains all administrative records and files in a logical and organized system so that information may be retrieved rapidly.
6. Regularly types reports and letters; prepares drafts and final correspondence for CEO. Performs special typing projects as requested (reports, etc.).
7. Coordinates day-to-day clerical support based on organizational needs.
8. Demonstrates knowledge of current Regulatory Agency policies pertaining to Administration and Governing Body; provides information to CEO as requested.
9. Keeps CEO informed of current hospital events; performs research, information collection and organization for special projects as requested by CEO.

10. Prepares agendas and attachments for distribution to Board Members for all committee meetings of the Board of Directors, which include but are not limited to Human Resources, Community Planning, and Finance.
11. Attends regular and special meetings of the committees of the Board of Directors. Composes minutes of said meetings.
12. Posts agendas of Board meetings and Board Committee meetings 72 hours in advance.
13. Maintains and keeps current journals containing Board of Directors' meeting minutes and committee meeting minutes.
14. Coordinates special meetings/functions involving Board members.
15. Interacts with Physicians and Board Members as needed; provides information as appropriate and documents concerns; follows up to ensure concerns have been appropriately addressed.
16. Schedules travel arrangements with designated travel agency for all staff as directed.
17. Reserves meeting room/schedule participants and oversee the delivery and set-up of audio-visual equipment and meals for meetings as instructed by CEO.
18. Following established policy and procedures, maintains confidentiality in all matters concerning discussions during Board meetings, public contact, patient or physician matters, internal business, fiscal matters or any other matters associated with the hospital, its employees, patients, customers or business partners.
19. Completes projects within time deadlines in a multiple demand, frequently changing priority work environment.
20. Exhibits knowledge/ understanding of Safety, Infection Control and Employee Health policies and procedures.
21. Adheres to the principals, philosophy and mission of Cobre Valley Regional Medical Center in all aspects of job performance.
22. Maintains a clean and safe environment for patients, visitors and staff.
23. Actively participates in effective guest relations through courteous communications with all hospital contacts; presents a positive image of the institution in all contacts both inside and outside the hospital.
24. Has working knowledge of department's budget and cost of supplies.
Qualifications:
  • Minimum of High School diploma or equivalent; prefer Associate Degree or graduate of business program.
  • Minimum of 3-5 years of secretarial experience.
  • Must be able to type a minimum of 60 WPM.
  • Ability to communicate in English, both verbally and in writing.
  • Excellent presentation and interpersonal skills.
  • Excellent computer, word processing skills and ability to operate office equipment.
  • Ability to transcribe from electronic means
  • Ability to work independently; demonstrates initiative and organizational skills
  • Must be adept in all Microsoft software.
**Relocation to Globe/Miami required**
