Job Overview:
We are seeking a highly organized, motivated, detail-oriented Executive Assistant/Office Manager to join our team. The Executive Assistant should also have strong interpersonal and communication skills and will be responsible for managing various administrative tasks, ensuring smooth office operations, and provide support to the company President. This is a part-time position with opportunities for growth and development.
Responsibilities:
- Coordinate office operations and maintain a clean and organized workspace
- Answer phone calls, respond to emails, filing and handle correspondence
- Coordinate meetings, conferences, and events
- Assist with budgeting and financial management
- Coordinate payroll processing and maintain employee records
- Coordinate human resources functions, including recruitment and on-boarding
- Assist with training and development initiatives
- Ensure compliance with company policies and procedures
- Perform general clerical duties such as filing, photocopying, and data entry
- Populate, input and coordinate all data input in company CRM software
- Liaison with the company bookkeeper on monthly and other financial reports needed
- Generate estimates, invoices, accounts payable, accounts receivable
- Assist estimators and sales team with leads support
Qualifications:
- Proven experience as an executive assistant and/or office administrator preferably with a construction company or related field - 5 years experience
- Strong organizational skills with the ability to multitask effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google office suite, and ability to learn quickly CRM based software used by the company
- Knowledge of general budgeting and financial management principles
- Familiarity with human resources processes and procedures
- Excellent communication skills, both written and verbal
- Strong attention to detail and problem-solving abilities
- Ability to maintain confidentiality of sensitive information
