Job Details:

Purpose

Provide online registration and technology support for the UT High School District's K-12 credit by exam program serving Texas public school district partners. Assist educators, students, and parents to enroll and access a variety of online testing and other district programs. Utilize a variety of integrated technology systems and troubleshoot questions and problems related to desktop, network, and systems support.

This position requires reporting to work on the UT Austin main campus, however currently the UT High School District is piloting a hybrid remote schedule with three days on campus and two days remote. This position requires remote internet access.

Responsibilities

  • Provide technology support services for students, parents, and K-12 school district educators to register, enroll, and complete exam administrations and enroll in a variety of UT High School District programs. Troubleshoot technology and exam issues such as logins and access during online exam administration utilizing Canvas LMS, Proctorio, and a variety of integrated online systems. Work collaboratively with the UTHS staff to troubleshoot and plan for a variety of technology updates, integrations, and processes. Assist with exam migration and updates within online platforms. Prepare and maintain guiding documents and train UTHS staff regarding online registration, revise enrollment processes, track frequent requests, and recommend solutions to address customer service issues.

  • Communicate with district partners via phone and email to coordinate their bulk requests to register students online in Credit by Exams (CBEs). Maintain a calendar of district testing windows and spreadsheet to prioritize and process requests in a timely manner. Follow-up with district contacts to ensure orders are received and grades are posted and accessible. Assist with preparation of exams for distribution and archiving. Maintain confidential student records and prepare materials and communication to support customers to meet deadlines. Send invoices, process payments, and assist with payment collections for district purchase orders. Assist with distribution, expediting, and archiving exams and coordinating with instructors for exam mail-outs and grade posting.

  • Communicate with K-12 students and parents to enroll students in individual credit by exams utilizing online systems. Prepare, update, and maintain documents and confidential student information. Validate approvals for testing by utilizing student information system, including Skyward SIS, Mishell Registration system, and communication with district contacts as needed. Enter payments and troubleshoot issues including test scheduling, score reporting, payment adjustments, and online testing administration. Assist customers in submitting exam inquiries and requests for accommodations. Coordinate requests for accommodations and student needs with the UTHS student services specialists.

  • Assist in preparing online and print manuals and forms to train staff and inform K-12 partners, parents, and students about programs and processes. Assist with documents, communications, materials, marketing, interviews, staff meetings, conferences, and graduation ceremony to assist with a variety of UTHS programs and services. Assist with ordering supplies, marketing materials, and coordinating marketing events for a variety of UTHS programs. Assist with answering phone calls for a variety of programs including partner school requests, professional development, and Diploma Program as needed. Archive materials and drive the UT van to the storage facility as needed.

  • Provide assistance to the UT High School District leadership team, including the Superintendent, principals, and other program leaders by providing customer service for internal and external partners via phone and email. Prepare reports, spreadsheet data, and written communications with professional level standards, accuracy, and timeliness. Assist with reports, documents, and submissions for state and university reporting requirements, including the annual CBE report for Texas Education Agency. Adhere to UT High School District, state, and university policies.Support STAAR testing as needed including occasional state travel to proctor remote exams. Support conference marketing for programs as needed. Occasional travel is less than 10% of time.

Required Qualifications

Bachelor's degree and one year of experience working in a K-12 or educational organization, university, or customer service position or high school diploma and five years' experience working in a K-12 educational organization, university, or customer service position. A minimum of one year of experience providing online technology helpdesk customer support. Advanced technology skills including experience working with online technology operating systems, student information systems, learning management systems, and performing functions for data transfer or migration. Demonstrated experience providing excellent technology-related customer service and staff support. Demonstrated excellent oral and written professional communication skills. Experience generating spreadsheets and reports of professional quality. Proficient in Microsoft products. Experience maintaining confidential records or data and preparing reports. Excellent organizational skills and proven track record of maintaining accurate records and meeting deadlines. Ability to multi-task, work independently, and process requests efficiently. Experience working successfully in a team environment. Professional demeanor.

Preferred Qualifications

Advanced degree in technology or a related field. Experience supervising or training staff. More than one year of experience working in a K-12 school district or organization to provide support services to school districts, technology help desk support, or coordinate testing services. Extensive experience processing payments and maintaining confidential student records. Experience working with the Skyward SIS, Canvas LMS, or Proctorio. Accounting or bookkeeping training and experience. Experience adhering to TEA requirements and submitting required school district documents, such as PEIMS reports. Working knowledge of school or district administrative services and operations. Experience generating reports for K-12 student or district PEIMS or student testing data. Experience communicating with executive level leadership and campus administrators.

Driving Required

This job requires a class "C" operator's driver's license.

Salary Range

$48,000 depending on qualifications
