Advancement Team Executive Assistant
Working as a key member of the Advancement Team, the Advancement Team Executive Assistant will play a crucial role in supporting the fundraising, development and communication efforts of the Advancement Team. Working closely with the VP of Advancement and the Director of Fund Development and Community Relations, this position will be involved in coordinating fundraising activities, managing donor communications, and providing administrative support to ensure the success of fundraising campaigns. The ideal candidate possesses strong organizational skills, attention to detail, and a passion for nonprofit work.

This position implements best practices and provides comprehensive administrative support to the Advancement Team by working with internal and external parties to coordinate and execute the various tasks needed to initiate, run and complete fund development initiatives and campaigns.

CORE RESPONSIBILITIES
:
  • Fundraising Support – Assist in the planning and execution of fundraising campaigns, including individual giving, corporate sponsorships, and special events.
  • Donor Communication – Manage donor correspondence, including acknowledgment letters, thank-you notes, and regular updates to foster strong relationships and donor engagement.
  • Database Management – Maintain accurate and up-to-date records of donor information, gifts, and interactions using Bloomerang donor management system. Ensure data integrity and generate reports as needed.
  • Fundraising Materials – Assist team and communications consultants in the creation of fundraising materials, including appeal letters, brochures, and newsletters, to effectively communicate the organization’s mission and its impact to donors.
  • Event Coordination – Support the planning and execution of fundraising events, including logistics, volunteer coordination, and donor engagement activities.
  • Administrative Support – Provide administrative assistance to the Advancement Team including scheduling meetings, preparing agendas, and maintaining fundraising calendars.
  • Donor Stewardship – Assist in donor stewardship activities, such as coordinating donor recognition initiatives, organizing donor appreciation events, and ensuring timely and personalized donor acknowledgments.
  • Social Media and Online Fundraising – Help Advancement Team and Vehr Communications manage social media platforms and online fundraising platforms to promote fundraising campaigns, engage supporters, and track online donations. Update website content as necessary.
  • Reporting and Analysis – Assist in tracking fundraising progress, preparing reports, and analyzing data to evaluate the effectiveness of fundraising efforts and inform future strategies.

QUALIFICATIONS
:
  • Exceptional interpersonal skills; proven ability to provide exemplary customer service to donors, board members, volunteers and other diverse groups of individuals.
  • Strong critical thinking, problem solving, troubleshooting and decision-making capabilities.
  • Ability to faithfully maintain confidential information.
  • Strong written and oral communication skills with proficient writing and editing skills for correspondence.
  • Professional with strong organizational skills, especially planning, coordination and follow-up. Attention to detail and accuracy is a requirement.
  • Proactive team member with the ability to complete assignments independently, professionally, efficiently and in a timely manner. Ability to make sound judgements and manage multiple assignments coming from multiple people.
  • Education: bachelor’s degree.
  • Three or more years’ experience in an Advancement Department or relevant position.
  • Experience in CRM/Donor Database systems and proficient in Microsoft Office Suite, including Word, Excel and PowerPoint.
  • Post-offer, pre-employment criminal background checks and drug screening.
