Cleveland Rape Crisis Center is Hiring a CLIENT SERVICES SPECIALIST (ASHTABULA) Near Ashtabula, OH

POSITION TITLE: Client Services Specialist
DEPARTMENT: Client Services
REPORTS TO: Manager - Client Services
CLASSIFICATION: Regular, Full-time
POSITION SUMMARY
This position is responsible for providing outstanding, trauma-informed care to survivors and guests visiting Cleveland Rape Crisis Center (CRCC) office locations. This position supports day-to-day operations by providing reception coverage and general administrative support to all CRCC programs and staff, Client Services positions perform work of a specialized, confidential nature on matters that impact clients, staff, and contract compliance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Welcome and greet all survivors and guests upon entry and receive all incoming calls
  • Promptly and effectively triage survivors seeking services, provide information, and connect them to the most appropriate provider, schedule appointments
  • Provide administrative support to all CRCC programs and staff
  • Submit complete and accurate client information and service documentation
  • Compile organization-wide VOCA client survey results and report findings to Manager - Grants
  • Receive and maintain direct service forms and client engagement session folders
  • Manage Missing Values Report for all missing client information
  • Ensure service coordination through timely and effective communication with team members
  • Monitor and fulfill transportation requests for survivors as needed (e.g. providing bus passes, scheduling rides with transportation providers)
  • Adhere to opening/closing procedures and safety procedures; coordinate ongoing maintenance for all areas of the office. Client Services Specialist is trained in CPR, Narcan® use, safety drills, and general safety response plans. Ensure first aid kits are stocked.
  • Assist Manager - Client Services in carrying out short- and long-term projects that strengthen CRCC programs and client outcomes
  • Receive and disseminate all incoming and outgoing mail and deliveries
  • Oversee office inventory by periodically reviewing levels of office supplies and placing orders as needed
  • Responsible for general office maintenance, including minor repairs, office cleaning and general upkeep that may include vacuuming, dusting, removing trash, and cleaning kitchens and restrooms
  • Frequently review and replenish lobby resources, including direct service forms and client assessment packets
  • Co-facilitate trainings for staff and volunteers new to the facility
EDUCATION, EXPERIENCE, LICENSES, CERTIFICATIONS
  • High school diploma/GED
  • Prior office experience required (e.g. answering telephones, computer entry)
  • Prior experience working with clients or the public required
  • Valid driver’s license and reliable transportation
  • May consider an equivalent combination of education, experience, and/or training to meet the essential functions of the position
SCHEDULE/LOCATION
  • In order to meet the needs of CRCC and survivors of sexual violence, this position requires work to be performed at any of CRCC locations (on short notice)
  • Work is typically performed onsite at a CRCC location 5 days/per week and as required, and may be performed remotely (i.e. at home) on occasion
  • Typical schedule is:
    • Monday, Wednesday, and Thursday 9:00 am to 5:00 pm
    • Tuesday 9:00 am to 7:00 pm
    • Friday, 8:00 am to 4:00 pm
    • In addition, the incumbent may be required to work overtime and outside of normal working hours/days (e.g. to provide coverage) as needed
