Office Administrator Objective

The Office Administrator at Clear Winds Technologies will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

This critical role is responsible for keeping the office running smoothly and providing administrative support to Clear Winds' core management team. The job can range

Responsibilities:

  • Technical quarterly report preparation for our customers
  • Sales Order processing
  • Conference and Event planning
  • Ticket processing for repair department
  • Obtaining a business license for multiple states, establishing unemployment and workers compensation in multiple states as contracts are acquired.
  • Producing financial reports, composing correspondence, and preparing business related documents to support project related deliverables.
  • Creating presentations and other management-level reports as needed.
  • Prepare invoices and maintain up-to-date electronic records in QuickBooks.
  • Maintain files on all account receivables and update records as required.
  • Perform research, reconcile all bank accounts and resolve any discrepancies or disputes in a timely manner.
  • Track compliance and document all tax filing requirements in each state that Clear Winds conducts business.
  • Maintain all project related files and invoices.
  • Work closely with finance to prepare, maintain and audit all financial data and reports.
  • Organize and evaluate vendor contracts, agreements, and invoices with products and billing plans.
  • Auditing Assistance
  • Access Control admin
  • Provide feedback on opportunities for process improvement.
  • Assists CFO with various accounting and administrative functions.
  • Supports the Payroll Manager with Monthly, Quarterly and Annual payroll tax reporting.
  • Assist with IT Equipment Account Setups and Transfers as needed.
  • Manage certificate of insurance process.
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Invoice Management.
  • Assist Senior Leadership with Expenses.
  • Process incoming mail.
  • Maintaining confidentiality about any information that is closely held.
  • Other administrative duties may come up from time to time as a result of changes in business processes or lack of resources.

Required Skills:

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication (written and verbal) and interpersonal abilities
  • Service mindset, ability to work with our growing workforce
  • Excellent organizational and leadership skills
  • Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office
  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Tax Management
  • Demonstrates high attention to detail with strong organization and time management skills.
  • Ability to multitask.
  • Proficient with Microsoft Office Suite or related software.

Job Type: Full-time

Pay: $36,000.00 - $48,000.00 per year
