Clarion Events North America is Hiring a Conference coordinator Near Shelton, CT

In September 2023, we were certified as a "great place to work" from GreatPlaceToWork.com for the 2nd year running! We are seeking a dynamic and detail-oriented Conference Coordinator to join our team.

The ideal candidate will be responsible for planning, organizing, and executing successful conferences and events for our energy events.

This role requires strong organizational and communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

The Conference Coordinator will play a crucial role in ensuring the seamless execution of conferences that meet the needs and expectations of our clients.

Main Responsibilities : Ensure all conference milestones and deadlines are met to guarantee a successful event. Collaborate with content creators and speakers to assist in the development and scheduling of conference sessions and activities.

Communicate event details, updates, and logistics to participants, speakers, and sponsors. Provide excellent customer service to address inquiries and concerns promptly.

Build and maintain strong relationships with clients, addressing their concerns and ensuring their expectations are met.

Utilize software and technology tools for speaker management, content management, data collection, and logistics organization.

Liaise with support teams on conference programming (i.e. marketing, registration, ops) Coordinate with internal and external stakeholders to gather event requirements and specifications.

Assist in arrangement and management of venue logistics, catering, audiovisual equipment, signage, and other event-related services.

Oversee on-site event management, including setup and coordination of staff and temps. Troubleshoot and address any issues that may arise during the conference.

Continuously develop event planning skills and stay informed about industry trends. Additional help with special projects as needed.

Skills / Experience Required : Bachelor's degree in Event Management, Hospitality, or a related field. Proven experience in conference coordination or event planning.

Strong organizational and project management skills. Excellent communication and interpersonal abilities. Proficient in using event management software and tools.

Ability to work well under pressure and adapt to changing priorities. Attention to detail and a proactive problem-solving mindset.
