JOB SUMMARY:Under general supervision, coordinates the administration of retirement plans and programs, providing training to employees and retirees, overseeing the enrollment and data within systems, coordinates with payroll and benefit vendors to resolve concerns, and coordinates retirement materials and communication.
ESSENTIAL JOB FUNCTIONS:

  • Administers various retirement benefit programs, such the pension, 401k Pre-Tax, 457b Pre-Tax, 457b Post-Tax, 457 PTS, etc. Also administers retiree benefit plans such as retiree Medical,
  • Dental, and Vision; this includes both pre 65 and 65 .
  • Coordinates retirement meetings, prepares materials, communicates with employees and retirees, and provides detailed presentations of retirement plans and programs.
  • Manages all incoming retirement inquiries and concerns from employees and retirees; coordinates with benefit vendors as needed; provides problem resolution. Escalates complex inquires or problems to Benefit Specialists.
  • Provides training to employees and retirees on enrollment in retirement plans and programs, including enrollment in systems.
  • Escalates complex system issues to Benefits Specialist.
  • Maintains retirement enrollment systems; is responsible for the integrity of data within systems; including enrollment data, documents, eligibility, etc.
  • Manages all data changes within enrollment systems, including new enrollment, changes, and terminations. This also includes the transition to retirement and managing retiree coverage.
  • Collaborates with team to oversee Annual Enrollment process for retirees, including the data, and accuracy of enrollments within all systems.
  • Runs and monitors enrollment reports within all retirement benefit areas; monitors new enrollments and changes within vendor portals to ensure new enrollees or updates are successfully completed.
  • Ensures accuracy of premiums as it relates to retirees and coverage changes within the retiree group; coordinates with finance on premium catch ups or reimbursements.
  • Collaborates with HR Assistant to ensure accuracy of benefit invoicing. Works with HR Assistant to ensure premiums are accurately reflected for each month and catch ups/reimbursements are account for.
  • Ensures retirement plans and programs are administered per the provisions of each policy and follow IRS and federal guidelines/regulations.
  • Co-Manages the content and materials on the Benefits Enrollment system, Employee Portal, City Website, and Benefit Guide. Collaborates with the Benefits Manager to ensure all content and materials are up-to-date.
  • Coordinates and prepares materials for One-on-One Retirement Meetings, Quarterly Retirement Committee Meetings, On-Site Departmental Retirement Training Sessions, and all other retirement events/trainings.

OTHER JOB FUNCTIONS:

  • Assists Benefit Specialists and Benefits Manager as needed on compliance requirements, audits, and other projects
