City Park Conservancy is Hiring a Project Coordinator Near Orleans, LA

Overview: The Project Coordinator is a highly skilled and organized individual that manages multiple small projects across various trades within our organization. The successful candidate will be responsible for overseeing the planning, execution, and completion of concurrent projects, ensuring they are delivered on time, within budget, and to the required quality standards. The role requires strong communication skills, attention to detail, and the ability to coordinate effectively with stakeholders and trade professionals.
Responsibilities
  • Project Planning and Scheduling:
  • Work with maintenance staff and other department personnel to define project scope, objectives, and deliverables for each small project.
  • Develop comprehensive project plans, including timelines, resource requirements, and budget estimates.
  • Work with procurement personnel to obtain competitive pricing as needed per CPC Procurement Guidelines.
  • Prepare and submit Purchase Orders for approval in the financial management system.
  • Coordinate scheduling of trade professionals and allocate resources efficiently to meet project deadlines.
  • Project Execution and Monitoring:
  • Oversee the day-to-day activities of multiple small projects, ensuring adherence to project plans and specifications and coordination with Park activities.
  • Monitor project progress, identify potential risks or delays, and implement corrective actions as needed to keep projects on track.
  • Conduct regular site visits and inspections to ensure work is being carried out according to quality standards.
  • Review and submit contractor invoices for payment in financial management system.
  • Coordinate with CPC Safety and Risk manager regarding contractor and staff safety requirements.
  • Stakeholder Communication:
  • Serve as the primary point of contact for project stakeholders, providing regular updates on project status, milestones, and any issues or concerns.
  • Facilitate communication between trade professionals, project team members, clients, and other stakeholders to ensure clarity and alignment throughout the project lifecycle.
  • Address stakeholder inquiries or requests promptly and professionally, demonstrating a commitment to customer satisfaction.
  • Resource Management:
  • Coordinate with procurement and supply chain teams to procure materials, equipment, and services required for each project.
  • Manage project budgets and expenditures, tracking costs and ensuring that projects are completed within budgetary constraints.
  • Optimize resource utilization and identify opportunities to streamline processes and reduce project costs without compromising quality.
  • Documentation and Reporting:
  • Maintain accurate project documentation, including project plans, schedules, budgets, change orders, and other relevant records.
  • Prepare regular progress reports and status updates for project stakeholders, highlighting achievements, challenges, and upcoming milestones.
  • Document lessons learned and best practices from each project to inform future initiatives and improve project management processes.
Education AndQualifications
  • Bachelor's degree in project management, construction management, engineering, or a related field preferred.
  • Proven experience in project coordination or management, with a focus on managing multiple small projects simultaneously.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with stakeholders at all levels.
  • Knowledge of project management methodologies, tools, and techniques.
  • Familiarity with building trades and construction processes is desirable.
  • Proficiency in project management software and Microsoft Office suite.
  • Must have a valid and unrestricted (not including corrective lens needs) U.S. Driver's license and must meet the City Park Motor Vehicle policy criteria to become authorized as a driver.
  • Must gain OSHA 10 Hour certification within six (6) months of start date.
