City of Shoreline, WA is Hiring an Extra Help - Finance Assistant Near Shoreline, WA

GENERAL SUMMARY

Definition:
Assist in providing support for professional accounting, financial and procurement functions to ensure management and staff have the necessary financial information for the operation of a division or departmental program.
This is a part time <20 hours a week position.

EXAMPLES OF DUTIES

Essential Functions

  • Archive records and documents according to City, State and federal regulations
  • Perform mailing activities; apply and record postage; sort, bundle and deliver mail and organize bulk mailings.
  • Create, maintain and update computer database files for a variety of department uses; input information into computer and produce reports.
  • Process cash receipts, and/or accounts receivable/accounts payable or procurement transactions.
  • Audit financial documents (contracts, invoices, etc.) to ensure compliance with City policy and applicable laws.
  • Assist with maintaining accounting information and financial records.
  • Provide basic backfill and support to accounts payable/receivable and procurement staff.
  • Research and gather data for special projects and reports.
  • Set up, label and maintain files for multiple departments including A/P, A/R, Payroll and Purchasing.
  • Prepare and assist with research and gathering of data.
Marginal Functions:
  • Other duties as assigned.

QUALIFICATIONS

Knowledge, Skills & Abilities

  • Basic knowledge accounting and budgeting functions.
  • Basic knowledge of spreadsheet software.
  • Skill in the use and care of personal computers and computer software.
  • Ability to participate and work effectively in an organization committed to advancing principles and practices of equity and anti-racism.
  • Ability to pass a criminal background check.
  • Ability to conduct basic research.
  • Ability to learn quickly, analyze and interpret instructions correctly to perform needed support for accounting functions.
  • Ability to apply established guidelines in the keeping of accounts and creation of financial reports.
  • Ability to apply State laws and regulations and City policies and procedures to the purchasing process.
  • Ability to work with a high volume of numbers with accuracy and details.
  • Ability to communicate effectively with the staff to understand the requirements of the assigned duties.
  • Ability to establish and maintain cooperative, effective, and productive working relationships using tact, patience, and courtesy.
  • Ability to effectively plan and organize work and complete tasks within prescribed timeframes.
  • Ability to operate and maintain a variety of office equipment including copiers, facsimile machine and computer; input and retrieve data and text; organize and maintain disk storage and filing.
Qualifications:
  • Completion of high school; and college level courses in accounting or finance, or vocational training in accounting, finance, or business administration, an associate’s degree in business or accounting is a plus; and
  • 1-2 years of experience performing or providing support for accounting and/or financial work;
  • Or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.

Conditions Of Employment:

  • All candidates will be required to establish employment authorization and identity at the time of hire. The City is not able to sponsor work visas.
  • All positions require the completion of references checks, including at least one prior supervisor.
  • This position requires completion of a criminal background check prior to start employment.
Working and Environmental Conditions
Office environment; exposure to computer screen.
Physical Conditions
Essential and marginal functions may require walking, standing or sitting for prolonged periods of time; heavy, moderate or light lifting and carrying up to 30 lbs.
