MINIMUM QUALIFICATIONS: The following qualification(s) MUST be met and clearly detailed on the application form on or before the last filing date: EITHER
  • Graduation from a regionally accredited or New York State registered two-year college or university with an Associate’s Degree and TWO (2) YEARS of full time paid clerical experience which shall include the daily use of computer programs involving keyboarding; OR
  • Graduation from high school or possession of a high school equivalency diploma and FOUR (4) YEARS of full time paid clerical experience which shall include the daily use of computer programs involving keyboarding.
SPECIAL NOTES: 
  • Clerical experience is defined as performance of routine office tasks, such as keeping of records and accounts, correspondence, recording/entering and retrieving data and/or information, in accordance with prescribed procedures
  • Degree must have been awarded by a college or university by a regional, national, or specialized agency recognized as an accrediting agency by the US Department of Education/US Secretary of Education. n. If your degree was awarded by an educational institution outside the United States and its territories, you must provide independent verification of equivalency. A list of acceptable companies who provide this service can be found on the internet at http://www.cs.ny.gov/jobseeker/degrees.cfm You must pay the required evaluation fee.
DUTIES: This clerical position exists in the City Accounts Department and involves responsibility for performing various planning and coordinating administrative activities for the City Council and the Accounts Department. Acts as an assistant to the Commissioner and/or Deputy Commissioner of Accounts, and/or the Director of Risk and Safety in cases where assignments call for the use of judgment and experience in making decisions in accordance with established policies and procedures; responsibilities include various confidential administrative duties including but not limited to fiscal records and accounts, collecting and analyzing data and assisting with organizing and coordinating projects. The work is performed under the direct supervision of the Deputy Commissioner of Accounts in accordance with established policies and procedures with leeway allowed for the exercise of independent judgment in carrying out details of the work. General supervision is received from the Commissioner and Deputy Commissioner of Accounts. Incumbent does related work as required.
TYPICAL WORK ACTIVITIES: (Illustrative only)
  • Performs administrative, clerical and coordinating functions for the Commissioner and/or Deputy Commissioner of Accounts, including administering and recording Oath of Office for any city related positions;
  • Notifies Department of the State regarding adoption of Local Laws;
  • Types notification to County regarding Commissioner of Deeds appointments;
  • Types correspondence, referrals, resolutions and memos as requested;
  • Takes Safety Committee minutes and files them with corresponding attachments into the City’s record systems; 
  • Takes and distributes draft and adopted City Council minutes and special meetings and maintains them with their respective attachments into the City’s record systems; 
  • Gathers and arranges material for the development of Accounts Department agendas;
  • Prepares legal notices and related information;
  • Prepares public notices for newspaper publication including notification to City Attorney regarding Council set public hearing dates;
  • Obtains news publications and maintains confidential correspondence and pertinent newspaper clippings files;
