Job Description

GENERAL PURPOSE

To perform a wide variety of specialized administrative duties in support of the municipal court including the initiation and processing of warrants and capias pro fines and the maintenance of legal documents, correspondence and statistics; provide information and assistance to the public.

SUPERVISION EXERCISED

Employee has no supervisory responsibilities.

Essential Duties

Learns, and correctly interprets, and applies the laws, codes, policies and procedures related to the processing of criminal court cases.
Reviews case files to determine which cases should be processed for warrants.
Reviews case files to determine which cases should be summoned for show cause hearings.
Processes probable cause affidavits, arrest warrants, and capias pro fine writs.
Identifies and reports delinquent cases to collections and Department of Public Safety.
Assists the public in person, by mail/email and by telephone including retrieving information and files and providing complex information to defendant’s regarding their criminal court case.
Compiles, types, records and files and scans a wide variety of court records including summons, warrants, and complaints.
Assist with scheduled warrant round-ups.
Administers oaths.
Assist in the courtroom as needed.
Relieves the Defendant Services counter during lunches, breaks, and during staff shortages.
Scans court documents into the court system.
Operates a computer terminal and printer to type, enter, modify and retrieve a wide variety of court documents, reports, records, letters and other material.
Ability to make sound judgments and decisions.
Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations.
May serve on a variety of employee committees.
Performs other duties as assigned.

Required Minimum Qualifications

Education and Experience:
  • Graduation from high school or equivalent; and
  • Two (2) years prior work experience in clerical, secretarial, paralegal or administrative work; or
  • Any equivalent combination of education and experience.

Knowledge, Skills and Abilities:
  • Working knowledge of computer applications.
  • Considerable knowledge of general office procedures; working knowledge of legal language and legal procedures.
  • Skill in operation of the listed tools and equipment.
  • Ability to communicate effectively on a one-to-one basis with the public; ability to maintain effective working relationships with employees, other departments, officials and the public; ability to work under pressure and/or frequent interruptions.
  • Ability to maintain accurate records; ability to type and enter data accurately.
  • Ability to adapt to constant change.
  • Maintains regular and punctual attendance.

TOOLS AND EQUIPMENT USED
Personal computer, including spreadsheet and word processing software; central Municipal Court computer system; telephone; 10-key calculator; typewriter; copy and fax machines.
