Job Summary

This is responsible administrative work in handling the day-to-day operations of the Department of Administration. The Department of Administration consists of accounts payable, accounts receivable, cash management, budget preparation, financials, grants management, payroll, purchasing, customer service, digital imaging, property tax management, investments, and Conyers Security Alert. 

Essential Job Functions

  • Answers phones, assists walk-in citizens/customers with requests. 
  • Processes daily deposits.
  • Completes Help Desk requests. 
  • Separates and processes mail. 
  • Posts all tax, Conyers Security Alert (CSA), sanitation and miscellaneous accounts receivable payments. 
  • Scans and indexes documents. 
  • Handles office supply orders for the entire Department. 
  • Assists Chief Financial Officer and/or Deputy Director of Finance in miscellaneous tasks as requested. 
  • Assists Customer Service Manager as needed. 
  • Handles sanitation requests for service and maintains database. 
  • Handles customer service for Conyers Security Alert. 
  • Prepares billing and collection of commercial sanitation and miscellaneous accounts receivable; and monitors and tracks the collection of these accounts. 
  • Retrieves and delivers mail to postal system.
  • Performs other work as required 

Minimum Qualifications

Education: Completion of a standard high school diploma, GED or equivalent from a regionally or nationally accredited school. 

Licenses(s): Valid Georgia Driver’s License.

Experience: Two (2) or more years' experience in an office environment, some of which involves customer service and/or public contact.

Some bookkeeping/accounting experience and/or knowledge a plus.

Certification(s): N/A

Knowledge, Skills and Abilities: 

Knowledge of: 

  • Thorough knowledge of customer service skills.
  • Good knowledge of computer skills, including web applications.
  • Knowledge and skill in good customer service.

Skill and Abilities:

  • Skill in handling a variety of diverse requests.
  • Ability to multi-task.
  • Ability to be detail-oriented.
  • Ability to establish and maintain effective working relationships with other employees and the general public/citizens. 
  • Ability to communicate effectively in both written, telephonically and oral form.
  • Ability to work at a desk for extended periods of time.

While performing the duties of this job, the employee is frequently required to sit, use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is required to stand; walk and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
