JOB DESCRIPTIONClass Title : CLERK III - Part Time

Grade Number : 8M

Department : Public Works

Bureau : Building Maintenace

Union : SEIU

GENERAL PURPOSE

Performs a variety of specialized clerical activities to support the functions and services of the Building Maintenance Bureau.

Assists in the performance of general office work.

SUPERVISION RECEIVED

Employee works under the supervision of the Facilities Manager and Office Manager.

SUPERVISION EXERCISED

At the discretion of the Office Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works from established routines, specifications, specific handwritten, typed, or oral instructions.
  • Processes a variety of documents and forms involving the bureau's functions and services.
  • Maintains daily logs, work order entries and reports.
  • Assists with payroll, invoice payments, billing invoices, blanket orders, and similar items.
  • Plans and arranges work priorities for self and supporting staff based on general assignments, projects and deadlines for completion provided by supervisor.
  • Maintains filing systems.
  • Assists with inventory of furniture / equipment for the city's surplus website.
  • Receives, sorts, and distributes mail.
  • Maintains data of confidential and sensitive information.
  • Ensures customer service, in person or over the telephone, is handled courteously and properly answers inquires as able.
  • Assists in the administration of all department goals, objectives, and systems.
  • Assists with monitoring expenditures and account balances.
  • Observes rules and practices on quality of work, personal conduct, and safe, effective, and courteous service to the public and community.
  • May be required to provide assistances to the Bureau of Streets during snow and other emergency situations.
  • Performs related work as may be required, including those of other classifications (higher and lower).

DESIRED MINIMUM QUALIFICATIONS

Education and Experience

  • Graduation from high school, including or supplemented by courses and experience in clerical work; or any equivalent combination of education and experiences providing the knowledge, skills, and abilities listed above.
  • One-year related work experience and considerable knowledge of word processing, computer terminals and other personal computer software.
  • Knowledge of the English language and spelling; possesses the ability to speak it clearly and distinctly.
  • Possession of a valid Pennsylvania Driver's license.

Necessary Knowledge, Skills, and Abilities :

  • Knowledge of business English, spelling, and arithmetic.
  • Thorough knowledge of office practices, procedures, and equipment.
  • Ability to understand and follow complex oral, written, or typed instructions.
  • Ability to explain complex situations clearly and concise.
  • Ability to establish and maintain effective working relationships with supervisors, other employees, and the public.
  • Considerable experience with varied office and clerical tasks.
  • Ability to keep computer generated records, to assemble and organize data and to prepare reports from such records.
  • Must be computer literate - prior experience working on a PC and software packages essential (Word, & Excel required)

SPECIAL REQUIREMENTS

Possession of a valid Pennsylvania Driver's license.

TOOLS AND EQUIPMENT USED

  • Requires intensive daily use of personal computer, copy machine, fax machine, plotter, telephone system, City radios and any other office related equipment.
  • Training will be given on city used programs such as Eden and Lucity.
