Circle City Prep Charter School is Hiring a Director of Finance and Food Service- 2024-2025 Near Indianapolis, IN

Job Description:

We are seeking a passionate, detail-oriented and innovative Director of Finance & Food Service (DFFS) who understands that the foundation of a great school starts with operational excellence. Circle City Prep’s commitment is to our students and families who rely upon our classrooms, communications, and facilities to operate smoothly and safely each day. Our operations team builds a sense of community within our school and ensures our building is an immaculate, joyful environment that promotes learning. By managing compliance, human resource, test coordination, food services and finance and budgeting, our DFFS ensures our instructional team is focused on student academic mastery. The Director of Finance & Food Service is a full-time, year-round position that reports to the Head of School.

Circle City Prep is an elementary school built on research and best practices of high performing charter schools nationwide and is uniquely focused on educating students on the Far Eastside of Indianapolis. We are heading into our 8th year as an organization, fully enrolled Kindergarten - 8th grade.


Job Responsibilities:

Project Management & Planning

  • Short, medium, and long-term strategic planning with clear, measurable outcome-oriented goals
  • Consistently assess progress towards goals and adjusts systems and personnel as needed
  • Communicate effectively with all stakeholders in order to advance school agenda

Human Resources

  • Demonstrates command of, adheres to, and promotes compliance with CCP’s personnel policies as documented in the Staff Handbook
  • Proactively facilitates enrollment/onboarding, changes and termination of employee benefits; provides instruction on paperwork, and schedules provider meetings when appropriate
  • Successfully serves as the school’s go-to person and first line of defense for employee issues. Personnel issues/grievances are resolved in a timely and discrete fashion.
  • All employee files are accurate, up to date, and complete per external audit standards
  • Owns that job postings are up-to-date and serves as the point of contact through the application process

Budget and Finance

  • Ensures school meets or exceeds our financial performance metrics for the fiscal year
  • Payroll is 100% accurate on time for final approval from Head of School
  • Provides monthly budget forecasts and grant tracking roll-ups
  • Completes weekly invoicing with appropriate AP vouchers and signatures
  • Leads annual audit process leading to limited to no findings
  • Manages all school grants including budgets, tracking, reimbursing, and reporting
  • Follows Fiscal Policies and Accounting Procedures diligently
  • Leads the Board Finance Committee alongside Board Treasurer

Grants & Fund Development

  • Write and ensure compliance of all eligible state and federal grants
  • Manage online donor platform

Student Data and Test Coordination

  • Preparation of all state reports while ensuring accuracy and timely filing.
  • Management of entry, integrity and reporting of data.
  • Manage student and financial data for all reporting entities and requirements.
  • Operate as school Corporation Testing Coordinator (CTC) to include planning test sessions, training staff, ensuring 100% of scholars complete testing, and ensure local testing policy is followed.
  • Upload and track all student assessment data for internal and external reporting.
  • Uses Direct Certification to determine Free/Reduced lunch status of scholars and sends out FRL forms to families not found in the database.
  • Support printing and distribution of materials including report cards, awards, testing materials, and posters

Food Service

  • Manage kitchen staff members to meet all school needs and health and safety standards.
  • Track school meal budget to ensure the account is net neutral, or net positive over the course of the school year
  • Ensures all tracking and compliance reporting is met including, accurate meal counting, production records, inventory, menus, USDA foods tracking, and kitchen equipment and personnel costs.
  • Completes at least 15 hours of annual continuing education training.
  • Completes food safety training course every 5 years.

Job Requirements:

  • Bachelor’s degree, required. Master’s degree or certified public accounting license, preferred.
  • Previous experience working in charter school, preferred
  • Background check passed, required.
  • Willingness to work occasional weekend and evening work hours, required
  • Track record of producing dramatic, demonstrable student achievement gains or comparable results in their current field, required.
  • Proficient in Microsoft Excel, PowerPoint, Word, QuickBooks, and Google Suite, required.
