Job Opportunity: Non-Profit Bookkeeper

Position Type: Permanent, full-time, Non-exempt; Hybrid (remote/in office: 8:00-5:00 PM or flexible, please note: first 3 months of employment will be onsite)

CIELO is a nonprofit organization whose mission is to promote community, self-sufficiency, and leadership of the Latinx population in the South Puget Sound area by providing educational, mental health, social services, and cultural activities.

CIELO was founded in 1996 by a group of dedicated Latinas determined to address the need for access to mental health and social services in Spanish by Latinx immigrants in the region. Since then, CIELO has expanded both the services it offers and its outreach to include Lewis and Mason counties as well as Thurston, providing hope to a vulnerable and underserved population. We educate, empower, and connect our people with the resources they need to create better lives for themselves and their families. More than a resource center, CIELO is a hub for the community, where people form strong bonds with other immigrants, our staff, and the over 150 volunteers who make our work possible.

CIELO has grown in response to an ever-increasing need for our services by Spanish, Mam, and Q’anjob’al-speaking families. Our organization is comprised of nine staff members, six contracted providers, nine board members, and many volunteers from the broader community. CIELO is looking for a dynamic leader to take an organization poised for growth to the next level.

POSITION SUMMARY

Non-Profit Bookkeeper:

This role supports CIELO’s programs and financial department. In collaboration with the ED and the Fiscal Manager this role will provide logistical support to CIELO’s programs that provide direct services to our community.

Principal duties and responsibilities:

  • Assist Finance Manager with monthly reporting for governance & funder reporting.
  • Assists in generating monthly billing statements based on the monthly general ledger.
  • Assists Manager in reconciling revenue accounts each month, and/or quarterly.
  • Developing systems to account for financial transactions by maintaining and establishing a consistent chart of accounts.
  • Maintaining subsidiary accounts by posting, verifying, and allocating transactions.
  • Maintaining a balanced general ledger.
  • Preparing reports for the accountants, management, and board.
  • Complies with federal, state, local legal requirements, and Generally Accepted Accounting Principles by studying requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.
  • Enters all transactions for Accounts Receivable, Deposits, Cash, Accounts Payable, and Payroll in accounting systems (QuickBooks, Gusto, Melio, etc..)
  • Assisting with developing systems to account for financial transactions by establishing a chart of accounts, defining bookkeeping policies and procedures. This process shall be done in coordination and under the supervision of CIELO’s financial manager.
  • Maintains subsidiary accounts by verifying, allocating, and posting transactions.
  • Balances general ledger by preparing a trial balance; reconciling entries on a monthly basis.
  • Maintaining good relationships with new and existing vendors, customers, clients and staff.
  • Ensuring bills and payroll are paid in a timely and accurate manner while adhering to procedures.
  • Track and process requisitions and create purchase orders in a timely manner.
  • Comparing purchase orders, prices, terms of payment and other charges.
  • Create invoices, submit invoices to customers.
  • Maintains and update files.
  • Preparing bank reconciliation on a monthly basis for review and approval by Treasurer.
  • Performs other duties as assigned.

Candidate Profile

Required Qualifications, Education & Experience:

  • High School Diploma or equivalent; Associates or bachelor’s degree or equivalent in accounting, business, or administration with coursework in accounting.
  • Excellent verbal and written communication skills.
  • At least two years of related experience required.
  • Proficiency with QuickBooks, or other accounting software, and proficiency with payroll systems (i.e., Gusto).
  • Proficiency with the Microsoft Office suite, particularly with Word, Excel, and PowerPoint.
  • Proficient with data entry and monthly reconciliation procedures.
  • At least 2 years’ experience performing bookkeeping, accounts payable and/or accounts receivable duties, (preferably in a non-profit organization).
  • Organizational, detail-oriented, and multitasking are essential skills for this position.
  • Maintaining a positive, respectful and professional approach while serving CIELO’s vendors, customers, clients and staff are critical qualities to following CIELO’s values and mission.
  • Comfortable working in a fast paced, dynamic and demanding work environment
  • Must possess a valid Washington State Driver License. Must be insured, or insurable to drive.

Desired:

  • Fluent in Spanish.
  • Indigenous language (Latin America).
  • Knowledge of payroll databases, i.e., Gusto payroll system, QuickBooks.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds.
  • CIELO’s current work environment is hybrid, with flexibility to work remotely part of the week. Some travel may be required within CIELO’s service areas of Thurston, Mason & Lewis Counties.
