Position Purpose

The Accounts Payable Coordinator will oversee all aspects of the accounts payable process, ensuring timely and accurate payment of invoices, maintaining vendor relationships, ensuring proper GL account coding, and managing expense reports. This role requires strong attention to detail, organizational skills, and the ability to communicate effectively with internal and external stakeholders.

Essential Job Functions

Responsibilities

The incumbent must be able to perform all the following duties and responsibilities with or without reasonable accommodation.

  • Review and verify invoices and payment requests for accuracy and completeness.
  • Process payments in accordance with established procedures and deadlines.
  • Address vendor inquiries and resolve discrepancies in a timely and professional manner.
  • Reconcile accounts payable transactions and maintain supporting documentation.
  • Collaborate with cross-functional teams to ensure timely and accurate processing of invoices and payments.
  • Assist with audits and compliance reviews as required.
  • Contribute to a positive work environment by demonstrating teamwork and cooperation with colleagues.

  • Problem-Solving Skills: Proactively resolve invoice discrepancies, payment issues, and vendor concerns in a timely manner.
  • Teamwork: Collaborate with colleagues in the finance department and other departments to streamline processes, resolve issues, and achieve departmental goals.
  • Accuracy and Precision: Consistently maintain high levels of accuracy and precision in data entry, invoice processing, and financial reporting.

Qualifications

  • Associate’s degree in accounting, Finance, or related field.
  • 2 years of experience in accounts payable or related accounting roles.
  • Proficiency in accounting software.
  • Strong understanding of Accounts Payable practices.
  • Ability to work independently with minimal supervision.
  • Previous experience in a fast-paced environment with high transaction volumes is desirable.
  • Experience in customer/vendor facing roles, including resolution of complex issues and deep investigation needs.

Physical Demands

  • Must be able to work around pet hair and dander.

Nature of Supervision

  • This position does not have any direct reports.

Independent Work:

  • Once familiar with the role and responsibilities, the Accounts Payable Coordinator often works independently to perform day-to-day tasks.
  • They are expected to manage their workload efficiently, prioritize tasks, and meet deadlines without constant supervision.
  • The coordinator will reconcile statements from vendors to maintain accurate reporting.

Collaborative Supervision:

  • While working independently, the coordinator collaborates with other team members, such as colleagues in finance, procurement, or vendor management.
  • They may seek guidance or input from supervisors or colleagues on complex issues, unusual transactions, or process improvements.
  • Collaboration ensures that the Accounts Payable Coordinator remains aligned with departmental goals and company policies while also fostering a supportive work environment.

Work Environment

  • Operates in a standard office environment. Most job duties are performed while seated indoors with little or no exposure to hazards.
