About CYT

Christian Youth Theater (CYT) is an after-school theater arts training program for students ages 4-18. Since its founding in 1980, CYT has grown to be the largest youth theater program in the nation, with Branches across the country training thousands of students a year.

CYT was brought to Santa Cruz in 2010. Each Branch’s yearly calendar is made up of three ten-week sessions: Fall, Winter, and Spring. These sessions involve after-school classes in theater arts and the opportunity to audition and perform in a Broadway-style musical or work behind-the-scenes. Additionally, CYT offers a summer session consisting of camps, workshops, and performance opportunities.

CYT stands in the forefront in its commitment to the highest ethical, moral, technical, and artistic standards of excellence. Instructors are professionals, qualified in teaching and/or performing, who understand our mission statement, values, objectives, and goals.

Function

The Managing Director works in partnership with the Artistic Director and is responsible for building an effective team internally and cultivating a committed team to act externally in the community at large, as well as generating, directing, and supervising all aspects of finance, operations, marketing, general administration, and human resources. The Managing Director will ensure the integrity of the financial, operational and internal control processes and policies for the organization as well as manage the day-to-day operations alongside the staff.

Immediate Supervisors: CYT Board of Directors - Board Chair / Accountable to Artistic Director.

Direction To: Staff, Chapter Coordinators, Rentals, CYT@School

Job Classification / Hours: Part-time, approximately 20 hours per week

Qualifications

  • Must have a humble and teachable spirit that is concerned with sharing the love of Christ in word and deed to all affected by the organization.
  • A bachelor’s degree in accounting or finance required.
  • Experience in Human Resources is required.
  • Experience in Non-Profit organizations is preferred.
  • Must understand CYT's Mission Statement and Values and Objectives and be willing to incorporate them when performing job-related tasks.
  • Must have extensive education and experience in business administration with strong management and organizational skills, as well as a keen financial understanding of the company
  • Must have a strong appreciation for the arts and a willingness to learn practices and trends that are specific to running a business in the arts field.
  • Proven ability to work in an environment with limited resources.
  • Strong analytical, organizational, and project management skills.
  • Ability to work independently and on a team.
  • Creative and resourceful problem solver.
  • Excellent written and verbal communication skills.
  • Ability to work with diverse stakeholders at all levels, for example: Staff, BOD, Donors, Vendors, Contractors, and Volunteers.
  • Must have proficient knowledge of Microsoft Excel, Complete office Suite, and Quickbooks. Must have desire and ability to be trained in the CYT-required computer programs and systems.

Job Responsibilities | Tasks

  • Oversees the following departments/key staff:

..........Accountant/Bookkeeper/HR Assistant

..........Accounts Receivable/Accounts Payable functions

..........Rentals Department

..........Box Office

..........Program Coordinators

  • Ensures maintenance of proper accrual set of books
  • Prepares, coordinates and manages the annual budget and cash flow analysis with the input of the AD
  • Processes payroll, manages employee benefits, conducts background checks, maintains HR handbook, handles new employee paperwork, handles all insurance policies.
  • Prepares reports for and attends monthly Board meetings including full quarterly financial analysis compared to budget as well as full annual analysis
  • Serves as staff liaison to the Finance/Executive and Operations Committees of the Board of Directors
  • Ensures compliance with state and federal 501c3 and other reporting requirements
  • Manages filing process for annual Form 990 and annual audit including interfacing with external auditors
  • Daily financial oversight of A/R and A/P activities and petty cash management
  • Negotiates and Maintains equipment, facility/venue, and insurance vendor contracts
  • Manages monthly, quarterly, and annual close process
  • Performs other accounting and administrative duties as needed
  • Hires and manages staff, including evaluations for staff, in conjunction with the Artistic Director
  • Co-leads bi-weekly staff meetings with the Artistic Director
  • Communicates and oversees budgets and expectations with staff regarding classes, camps, productions, and special events.
  • Assists with Board education, development, and involvement
  • Oversees marketing plan and timeline
  • Attends performances and CYT’s National Leadership Conference and/or EXPO
  • Develops formalized inventory tracking program
  • Manages financial contracts with national affiliate organizations
  • Manages family user accounts and communicates with families regarding accounts and payments in coordination with the Chapter Coordinators.
  • Develops, implements, and oversees the financial processes at productions and special events.
  • Proofreads, in a timely manner, all office generated materials related to company related fees and expenses.
