Christ Church is Hiring an Executive Assistant to the COO (Full Time) Near Rockaway, NJ

Description
The Executive Assistant is to help serve the administrative and operational needs of the Office of the Chief Operating Officer. The administrative responsibilities will help to facilitate the daily operations by offering administrative support including, but not limited to, drafting correspondences, organizing meetings, filing, typing, data entry, scheduling appointments, mailings, transcribing Dictaphone correspondence, receiving and returning phone calls, screening calls, and special projects.A SNAPSHOT OF RESPONSIBILITIES:
    1. Handle transactions pertaining to the Chief Operating Officer’s record keeping.
    2. Review and proofread all relevant correspondence.
    3. Work with the COO in order to ensure all of his direct reports deliver the business, operational, and ministry projects they have been tasked to accomplish according to the stated timelines. This includes making the necessary telephone calls, virtual meeting arrangements, room setup, food, and other hospitality arrangements.
    4. Manage the COO’s calendar, including making appointments and helping to prioritize the most sensitive matters.
    5. Perform minor accounting duties related to the tracking of budget performance for some special events.
    6. Help to identify and streamline internal processes to ensure that priorities are met, organizational goals are achieved and best practices are upheld.
    7. Draft letters from the COO’s perspective in response to incoming letters posing questions, raising concerns or issues with the church or the COO’s business plans.
    8. At the pre-scheduled times of the year, prepare appropriate documents for the Executive Team and Board of Trustees meetings; update and distribute organizational policies and updates to the staff.
    9. Perform various special Internet and marketing research projects for COO.
    10. Interface with various levels of employees, pastors, and non-staff ministry leaders to ensure timeliness of receipt of various materials to meet the COO’s needs.
WHAT YOU WILL NEED:
    1. Prior office management experience and 3-5 years of experience in the administrative field.
    2. Possess a minimum of a two-year college degree; a four-year college degree is preferred.
    3. A self-starter, with the ability to take initiative, multitask and work in a fast-paced environment.
    4. Possess strong administrative skills.
    5. Possess excellent presentation, communication, verbal, writing, proofreading, and editing skills.
    6. Ability to exhibit flexibility and adaptability to a demanding deadline-sensitive environment.
    7. Maintain a high level of sensitivity to the confidential nature of the job.
