CHLOETA is Hiring a Medical Administrative Support Assistant Near Santa Fe, NM

Job Description:


Job Summary:
This position serves as an Administrative Support Assistant in a medical facility in Santa Fe, NM. A minimum six (6) month commitment is preferred. Options for additional consecutive six (6) month commitments do typically exist but are based on client needs.

Job Classification: Full Time Contract

Supervisory Responsibilities: This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the department.

Duties/Responsibilities:

  • Coordinates and sets up meetings.
  • Compiles reports per administrative instructions.
  • Performs data entry.
  • Provides records management and documentation services.
  • Provides other support services as directed by the government official.
  • Provides appropriate follow-up as directed or per established guidelines
  • Observes and abides by all Policies and Procedures, Bylaws, Rules, and Regulations of stationed department.
  • Preserves patient confidentiality and promotes patient advocacy.
  • Maintains the dignity and worth of individuals, respects cultural, spiritual and psychosocial differences and applies philosophical and ethical concepts that promote quality and continuity of care. Demonstration of continual cultural awareness and focus on customer service while adhering to the Code of Ethics and Federal Code of Conduct.

Required Knowledge, Skills and Abilities (KSA):

  • Strong customer service, professional communication, and organizational skills.
  • Ability to maintain an appointment system by computer.
  • Compliant with the health center's published policies, procedures, standards of care, and hospital/laboratory protocols.
  • Ensure all required documentation meets the established guidelines of the medical facility, Joint Commission, and CMS to include, but are not limited to, timeliness, legibility, accuracy, content, date, time, and signature.
  • Flexibility to meet the facility’s scheduling needs.

Required Education and Experience:

  • Required: Related customer service experience.
  • Required: Knowledge and experience in using various computer applications, Microsoft Office, Adobe and conferencing software.
  • Required: High school diploma or GED.
  • Preferred: Medical supply experience.
  • Must possess a valid state driver’s license throughout the term of this contract.
  • Must be able to pass a federal background check.
  • License verification, education, and certifications must be provided at the time of application and can be emailed to certification@chloeta.com.

Physical Requirements:

  • Able to frequently lift at least 15 lbs., reach, pull, push, bend, stoop, and kneel.
  • Prolonged sitting at a desk and working on a computer and standing/walking.
  • At the time of hire, must provide a fitness for duty certificate issued by a licensed physician to perform the proposed job without significant risk to personal health or the health and safety of others.
  • At the time of hire, must provide documentation of evidence of immunizations as required by the facility's immunization policy.
  • License verification and certifications must be provided at the time of application and can be emailed to certification@chloeta.com.

Pre-employment Requirements:

This position may be contingent upon passing a security clearance, criminal background check (state and federal), drug screen, Motor Vehicle Record (MVR) review, education verification, employment verification, and/or credit check after acceptance of an offer and prior to beginning work, due to the nature of the services Chloeta provides and the responsibilities of this position.

Drug and Alcohol Testing:

To enforce Chloeta’s Drug and Alcohol Testing Policy, an employee or candidate could be subject to undergoing a drug screen and/or alcohol testing at the beginning of employment, as well as after commencement of employment where there is reasonable suspicion of intoxication, or following an automobile or other accident, or as part of a company or facility-wide random drug screen process.

Fair Credit Reporting Act (FCRA):

Under the FCRA, Chloeta may request a credit check during the onboarding process. A written authorization form will be required before obtaining credit records.

Emergency Response:

Every Chloeta employee has regular and recurring emergency management responsibilities, though not every position requires routine deployment to disaster sites. All positions are subject to recall around the clock for emergency management operations, which may require irregular work hours, work at locations other than the official Duty Station, and may include duties other than those specified in the employee's official Position Description (PD). Travel requirements in support of emergency operations may be extensive in nature (weeks to months), with little advance notice, and may require employees to relocate to emergency sites with physically austere and operationally challenging conditions.
