Children Square USA is Hiring an Office Administrator Near Council, IA

Job Description

ESSENTIAL RESPONSIBILITIES:

  • Supports the Board of Directors, Board Committees, Foundation Board, and Friends of Children’s Square to include scheduling, assembling materials prior to board meetings, attend meetings and take minutes; transcribe minutes.
  • Coordinates and tracks board engagement opportunities.
  • Completes projects and special assignments for the President/CEO and manages the calendar.
  • Communicates with Board members, donors and others on behalf of the President/CEO as needed
  • Works closely with the President/CEO to keep him/her informed of commitments and responsibilities.
  • Coordinates the effective operation of the administrative offices to include training staff on processes and systems (i.e. mail procedures) and ensuring all necessary functions are appropriately staffed.
  • Plans and executes special events, meetings, and conferences for the President/CEO.
  • Prepares presentations and creates reports such as expense reports.
  • Supervise company fleet management and purchasing processes.
  • Maintains, tracks, and updates company records, legal documents, contracts, audit records, and various office documents.

  • Strong organization, interpersonal, and communication skills (written and verbal)
  • Excellent project management skills
  • Excellent time management and attention to detail
  • High level of proficiency with English for professional level communications
  • Able to write routine reports and correspondence
  • Knowledge of Micro Soft Office Suite including Word, Excel, and Power Point
  • Able to multi-task in a fast-paced environment
  • Able to successfully complete organization’s Defensive Driving course to be able to use company vehicles

EDUCATION AND EXPERIENCE

  • Bachelor’s degree preferred; Associates required
  • 5-8 years executive level support experience

WORK ENVIRONMENT

The work takes place in an indoor office setting equipped with a computer, desk, phone and other typical office equipment. Work also occurs in the community and travel to other sites may be required for meetings and trainings. Flexibility to work hours to support activities in a 24/7 organization.
