Children's Hospital Association is Hiring a Remote Project Specialist – Conferences and Forums

Job Description:

Where You’ll Work

This position is based in our Lenexa, Kansas office. We leverage a hybrid working model working three days in the office, two days optional remote work.

What You’ll Do

The Education Project Specialist is a key member of the Conferences & Forums team, providing project and program management to assigned conferences, virtual series and projects. Key responsibilities include program and conference content development, managing timelines, communication, abstracts, marketing, and event execution.

  • Manage meeting registration, communicating with speakers, creating and managing customized project checklists, developing meeting agendas and other documents.
  • Responsible for on-site meeting activities and logistics such as setting up equipment, working with personnel at meeting facilities (e.g., hotel personnel), and supporting forum meetings and conference learning sessions.
  • Responsible for logistical coordination and support for program deliverables, including webinars, conference calls, projects, etc.
  • Assist in developing and implementing overall marketing and promotion plans for CHA conferences, in partnership with communications and outside vendors, to optimize the use of resources.
  • Manage the call-for-proposals abstract process.
  • Assist internal stakeholders to deliver CHA work and outcomes before, during, and after programs including participating in staff conference orientations and training.
  • Partner with Event Services staff, providing necessary program information for logistical arrangements including onsite signage.
  • Contribute to the conference and session development and evaluation process and participates in post-conference analysis with staff and planning committees.
  • Develop and build strong relationships with hospital participants through email correspondence, active problem-solving, and networking at CHA meetings and events.
  • Serve as a communication liaison by responding to hospital and participant requests, and interacting with outside contacts, such as the offices of hospital senior executives, other hospital staff, consultants, vendors, expert panel participants, and meeting speakers.
  • Supports the larger CHA needs through a variety of administrative projects.
Experience and Skills:

What You’ll Bring to CHA

  • Bachelor’s degree in business, healthcare or related field.
  • Excellent organizational skills; must be detail-oriented and thorough
  • Experienced in managing and supporting multiple projects at the same time
  • Advanced personal computer skills including knowledge of Microsoft Office, Teams, and ZOOM applications
  • Familiarity with customer relationship software/databases
  • Ability to work effectively and professionally with all levels of employees, hospital personnel, and other external individuals
  • Excellent communication and time management skills
  • Ability to travel up to 30%
